About the role

We are seeking an Administrative Assistant in Far Rockaway, Queens, NY to provide day-to-day administrative and operational support at our affordable multifamily community.

Responsibilities

  • Welcome tenants and new applicants and guide them through the application process.
  • Serve as a primary point of contact for residents, applicants, vendors, and visitors, creating a welcoming and professional office environment.
  • Support leasing and compliance activities by distributing application materials, assisting with interviews, and coordinating background and credit checks.
  • Aid in lease-related tasks including document preparation, lease signings, and processing invoices and financial paperwork.
  • Organize and maintain applicant and resident files in both paper and electronic formats, ensuring documents are properly labeled, dated, and filed.
  • Track deadlines for certifications, renewals, and required notices, maintaining logs and notifying the team of upcoming items.
  • Support audit preparation including MORs and LIHTC file reviews by assembling file lists, pulling documentation, and confirming file order and completeness.
  • Afford resident engagement activities including event sign-ups, room set-up, refreshments, and post-event clean-up.
  • Order office supplies and maintain the lobby and work areas in an organized and presentable condition.
  • Provide general administrative support to the property team as assigned.

Qualifications

  • 1+ year of administrative, customer service, or front desk experience.
  • Experience in multifamily property management or affordable housing experience a plus.
  • Proficiency with Microsoft Office (Word, Excel, Outlook).
  • A proactive, problem-solving mindset with a passion for creating great living experiences.
  • Strong customer service, verbal and written communication, and time-management skills.
  • Demonstrated ability to maintain confidentiality and navigate sensitive issues professionally.
  • Demonstrated accountability and reliability by taking full ownership of projects and outcomes, prioritizing precision and attention to detail, and approaching challenges with grit, resilience, and proactive problem-solving, while continuously engaging in learning and development to enhance performance; fosters collaboration and a resident-centered environment, ensuring empathy, respect, and cross-functional success in all interactions.
