Administrative Assistant
Responsibilities
- Greet and direct in office visitors
- Answer and direct phone calls
- Cook conference rooms; assist in set-up and clean-up of conference rooms for management and/or client meetings including coordination, selection and ordering of food
- Assist with set up of seminars (on and off site) and day of tasks as needed
- Provide administrative support to the Manager and others as requested
- Requesting information from clients
- Create and update client information
- Update agency management system with policies, renewal dates, premium, activities, and documents
- Follow-up on signatures from clients when necessary
- Print and bind of client presentations as needed
- Pulling reports, policies, or information from carrier websites as needed
- Processing and download duties in the agency management system
- Provide office management duties to include but not limited to:
- Review of service contracts on equipment from vendors
- Maintain all office equipment to include copiers, shredders, postage machine, etc.
- Coordinate with vendors if issues occur
- Aid staff in training of equipment when needed
- Research, negotiate and price and purchase of office furniture and supplies
- Get and distribute mail on a daily basis
- Send checks to corporate office
- Order and maintain office supplies (paper, toner, kitchen supplies)
- Process incoming payments on carrier sites and in the agency management system
- Aid the accounting department with payment processing
- Other projects as assigned by management

- Must have a high school diploma or equivalent
- Experience in a similar role is preferred
- Proficient in Microsoft Office Suite
- Knowledge of insurance industry terminology and processes

The typical base pay range for this role nationwide is $22 to $24 per hour. Your base pay is dependent upon your skills, education, qualifications, professional experience, and location. In addition to base pay, some roles are eligible for variable compensation, commission, and/or annual bonus based on your individual performance and/or the company’s performance.
