Administrative Assistant
Summary/Job Purpose
Provide administrative support to ensure efficient operation of the Chicago office. This role will support members of the leadership team and involve a variety of tasks including managing travel arrangements, processing invoices, scheduling meetings, and taking notes during meetings.
Essential Functions
- Cook up and book travel arrangements for executives and team members, including flights, accommodations, and transportation.
- Process payment requests for invoices accurately and in a timely manner, ensuring adherence to company policies and procedures.
- Manage calendars and schedule appointments, meetings, and conferences, optimizing time efficiency for all parties involved.
- Participate in the self-audit process by setting up the audits and running reports for management.
- Take comprehensive and accurate notes during meetings, ensuring key points and action items are captured and communicated effectively.
- Prepare and distribute correspondence, memos, reports, and presentations as needed.
- Aid with special projects and tasks as assigned, demonstrating flexibility and adaptability in a fast-paced environment.
Education And Experience Required
- Diploma/Degree & Experience: Bachelor’s degree, preferred. 5+ years administrative experience.
- Experience: Providing administrative support to executives within a corporate environment.
- Must have: Professional, self-motivated, flexible, open to growth and challenges and a proven team player.
- Skills: Excellent attention to detail, highly organized, able to successfully handle simultaneous priorities, with speed and accuracy.
- Personal Integrity: Strong sense of personal integrity; able to maintain confidentiality and handle highly sensitive information; demonstrate good judgment and decision-making.
- Communication Skills: Professional and articulate communication skills; able to seamlessly interact with experienced professionals.
