Essential Functions

  • Answers, screens, and transfers phone calls from external sources and internal transfers.
  • Welcome and direct visitors and clients visiting the Maguire Sioux Falls campus.
  • Maintain filing systems as assigned.
  • Retrieve information as requested from records, email, minutes, and other related documents; prepare written summaries of data when needed.
  • Data entry into ERP systems
  • Respond to and resolve administrative inquiries and questions across the company for both on-campus team members and remote staff.
  • Cook up and schedule travel, meetings, and appointments for managers or supervisors.
  • Prepare meeting agendas and offer administrative support for business meetings.
  • Prepare, maintain, and send company-wide announcements.
  • Record and distribute minutes or other records for meetings.
  • Maintain office supplies on campus and coordinate maintenance of office equipment.
  • Prepare mailings and shipping services, including daily mail runs.
  • Organize catering and food deliveries for company events.
  • Lead special projects as assigned.

Qualifications

  • A High School Diploma or equivalent; five years of related experience in a fast-paced construction environment preferred.
  • Excellent organizational skills and attention to detail.
  • Proficient in Microsoft Office and ability to learn new programs.
  • Excellent verbal and written communication skills.
  • Team-oriented person who can focus on the details.
  • A professional attitude when dealing with internal and external customers.

Work Environment

  • Majority of the time is spent in an office environment.
  • Prolonged periods sitting at a desk and working on a computer.
  • Occasionally lift and/or move up to 25 pounds.
