Basic Qualifications
- Previous Administrative Assistant experience or equivalency.
- Proficiency in Microsoft Office, including Outlook, Excel, PowerPoint, and Word.
- Experience managing emails, calendars, and schedules.
- US Citizenship with the ability to obtain and maintain a Secret security clearance.
Job Description
- Performing normal office functions such as setting up and maintaining files, maintaining calendars, providing phone coverage, interviewing callers and making proper referrals, arranging and supporting on-site and offsite meetings to include video teleconferences and Microsoft Teams meetings, conferences, and associated catering.
- Arranging travel plans for assigned group and preparing expense reports.
- Maintaining team rosters and organizational charts.
- Acting as the program’s employee engagement lead by developing new and innovative ways to engage with employees including hosting monthly meetings and requesting employee feedback.
- Aiding with coordinating volunteer support for program events by managing volunteer lists and sending communications regarding logistics.
- Providing backup and fill-in for the VP and site director's administrative assistant during absences.
- Supporting customer relations and interfacing including customer visits and meetings, setup of meetings, and coordination of badge access and visit requests with LM Security.
Desired Skills
- Experience with managing and/or assisting employee morale events including maintaining budget.
- Strong verbal and written communication skills.
- At least three years of administrative office or related experience.
- Experience managing distribution lists and sending large scale communications.
- Experience managing Outlook calendars.
- Experience setting up, coordinating and running telecom meetings via Microsoft Teams.
- Working knowledge of VTC systems.
- Experience with Concur expense reporting tool.
- Experience with Lockheed Martin administrative systems and processes including LM Procure to Pay (P2P) system.
- Ability to collaborate and work effectively in a diverse team environment.
- Effective time management skills, ability to organize and prioritize work assignments, and attention to detail.
