Key Responsibilities
- Provide administrative support to the Legal Department, including digital file management, calendar coordination, mail and package handling, and departmental event planning.
- Prepare, edit, format, and maintain professional documents, spreadsheets, reports, presentations, agendas, and correspondence using Microsoft Word, Excel, and PowerPoint.
- Cookordinator attorney travel, meetings, and expense reports.
- Manage meeting logistics using Microsoft Outlook, including scheduling meetings, coordinating attendee availability, reserving meeting space, issuing invitations, and arranging catering as needed.
- Support training and awareness initiatives for the Legal Department and Ethics & Compliance (E&C) team, including maintaining training records, tracking completion metrics, generating reports and dashboards, distributing communications and reminders, preparing presentations and materials, and leveraging Excel and PowerPoint skills for reporting and program administration.
- Support the E&C team, including with the annual E&C questionnaire, the system used to track Code of Business Conduct issues, and E&C displays.
- Support the contracts administration team, including assisting with the Contracts Management System.
- Facilitate translations for the Legal Department, including coordinating with translation service providers and internal validators.
- Maintain an efficient office environment by managing office and breakroom supplies, coordinating printer replenishment, keeping breakroom and conference room areas clean and organized, and submitting and tracking facilities requests.
- Plan, create, and schedule content for breakroom digital signage (OptiSigns).
- Respond to inquiries and collaborate with internal departments to ensure timely completion of requests and action items.
- Maintain Legal Department resources and systems, including iManage, SharePoint sites, organizational charts, and other departmental tools and records.
- Assist with onboarding and offboarding employees and interns.
- Perform additional administrative duties and special projects in support of the Legal Department and Ethics & Compliance Office.
- Serve as the secondary point of contact for essential administrative matters related to the Chief Legal Officer during the Executive Assistant's absence.
What We Are Looking For
- Requires a high school diploma (bachelor’s degree is a plus) and at least three years of similar work experience.
- Excellent communication, organizational, and interpersonal skills, with the ability to work effectively across all levels of the organization.
- Advanced proficiency in Microsoft 365 (including Outlook, Teams, SharePoint, Word, Excel, and PowerPoint) and Adobe Acrobat.
- Strong technical aptitude and ability to quickly learn new systems and tools.
- Ability to handle confidential and sensitive information with discretion and professionalism.
- Self-motivated and able to work independently while managing multiple priorities with strong attention to detail and accuracy.
- Strong analytical, problem-solving, and critical thinking skills.
- Notary Public certification, or willingness to obtain certification, preferred.
What We Offer
- Compensation: This is a salaried non-exempt role. This means that employees are paid a salary and also receive overtime pay when they work more than 40 hours in a week (or as otherwise required by state law). The starting salary range for this role and market is between $43,000 - $56,700 annually. Factors that may affect starting salary include geography/market and the skills, education, experience, and other qualifications of the successful candidate. Employees in this role are also eligible for a bonus in accordance with the terms of the Company’s applicable plan.
