Specific Duties & Responsibilities (Essential Job Functions)

  • Front desk coverage: greeting office visitors and stakeholders with a positive, enthusiastic, and friendly attitude, assisting in any way available and permitted and answering the primary office phone, as well as the secondary customer service intercom as needed
  • Prepare, edit, distribute, and maintain various correspondences, communications, and office documents, forms, and logs
  • Absorb and respond to and monitor guest issues/comments in a professional, courteous manner
  • Maintain office space and adequate inventory of office supplies and equipment
  • Develop and maintain positive relations with retailers, office tenants, and vendors
  • Activate and deactivate access credentials via multiple systems
  • Log, manage mail and packages; coordinate distribution to staff or stock as necessary
  • Absorb and assist with client billing account maintenance by way of activations, enrollments, terminations, forwarding invoices, AR collections, receipts, etc.
  • Maintain and organize tenant and vendor files

Qualifications

  • Minimum 1-2 years of clerical or administrative experience, preferably in corporate office or hospitality fields
  • Bachelor’s degree or equivalent experience in lieu of formal education
  • Strong organizational and planning skills required
  • Exceptional communication and interpersonal skills with a customer-service focus
  • Proficiency in Microsoft Office (Outlook, Word, and Excel)
  • Familiarity with parking system operations, management, and software a plus
