About the role

Harder Mechanical is a leading mechanical contractor operating across the 11 western states with regional offices in Portland, OR; Reno, NV; Phoenix, AZ; Concord, CA; and Salt Lake City, UT. As an Administrative Assistant, you will support the Fab Shop team in Milwaukie, OR, handling office duties and miscellaneous tasks.

Responsibilities

  • Support the Fab Shop team with data entry and completing tasks critical to business success
  • Aid in the uploading, printing, and electronic filing of construction drawings
  • Schedule and coordinate meetings, appointments, and maintain calendars
  • Cover the reception area, welcome guests, and assist with shipping and receiving
  • Prepare and distribute daily/weekly communications including reports, invoices, transmittals, and various other documents
  • Support key processes such as timecard submissions, scheduling transfers, and new hires into safety training
  • Maintain filing systems (electronic and physical) with a focus on document control
  • Communicate clearly and effectively with internal and external stakeholders and corporate headquarters personnel
  • Support the Fab Shop with material purchases and PO tracking
  • Help manage special projects as assigned

Requirements

  • Computer skills, proficient with MS Office Word and Excel, including an eagerness to learn proprietary software
  • Strong organizational skills
  • Excellent verbal and written communication skills, able to communicate clearly and well to internal and external business partners
  • Ability to effectively interact with construction industry personnel and home office staff members
  • Experience organizing, maintaining, and logging documents
  • Ability to maintain confidentiality
  • Previous successful experience in a construction office environment
  • Ability to work in a fast-paced environment and multi-task
  • Experience with data entry
  • Team mentality

Qualifications

  • 2-3 years in an administrative role
  • Previous experience in construction preferred
