Administrative Assistant
JOB REQUIREMENTS
The Assistant will provide timely and detail-oriented office support to managers, other staff, and customers. Strong attention to detail, customer service, and data entry skills are required. The Assistant will also be primarily responsible for gathering customer information, helping customers complete applications for funding opportunities, submitting work for funder approval, and requesting payment.
- Greet customers, answer phones, complete intakes, and route customer questions, provide customer service and follow up
- Understand program processes and be able to explain to customers
- Gather customer information and verifications to assist with the process of rebate applications
- Track customer applications from start to finish, provide timely updates to customers and other staff on progress and issues
- Submit customer applications and proposed work for funder approval
- Request payment for work completed
- Problem solve error and process issues
- Aid in coordinating teams and assessor scheduling
- Connect with Assessors and Electricians who perform home visits to determine the feasibility of different energy efficiency improvements
- Work with GHU team to help determine customer eligibility for grant and/or program funding for improvements
- Organize and keep files and data up to date and accurately stored
- Meet deadlines and clearly communicate with managers and third-party partners
Position Expectations
In addition to the above, the Assistant will be expected to present oneself to clients and partners with the values set forth by Green Homeowners United: honesty, trust, promptness, reliability, Entrepreneurialism And Sustainability. Further expectations include maintaining all equipment provided as required for proper usage, storage and protection; committing to continuing education for energy efficiency expertise; meeting deadlines and tracking all customers through the process; and helping Green Homeowners United improve systems and find efficiencies. Reliability and timely attendance are required. The office is on several bus routes. A personal vehicle is appreciated but not required.
OTHER EXPERIENCE AND QUALIFICATIONS
- Experience/skills required: answering phones, sending professional emails, working with spreadsheets and Google calendar, and uploading, downloading, and organizing electronic files
- Strong attention to detail
- Excellent computer skills with standard programs and ability to learn new programs and software with training
- Critical thinking, interest in problem solving
- Ability to organize tasks and files
- Ability to meet deadlines
- Communicate effectively and professionally with the team and customers
