About the role

The Administrative Assistant oversees routine and advanced duties for other professionals by working with administrators and other employees to organize files, create correspondence and prepare reports or documents. They also assist with the coordination and execution of events and projects, provide support to various team members, projects, and departments, and ensure the office remains clean, organized, and presentable.

Responsibilities

  • Perform various administrative tasks such as data entry, generate regularly scheduled reports, maintain and order office supplies and equipment
  • Welcome, assist and be the point of contact for employees, clients, vendors, and other external parties to maintain positive relationships
  • Assist with the coordination and execution of events and projects
  • Provide support to various team members, projects, and departments
  • Ensure the office remains clean, organized, and presentable for both employees, clients, vendors and other external parties
  • Continuously improve administrative processes and procedures to enhance efficiency and productivity within the office
  • Manage schedules, appointments, and meetings for advisors or managers, ensuring smooth daily operations using the CRM and Outlook
  • Cook up meeting logistics, scheduling and confirming appointments
  • Coordinate client relationships via courtesy calls, birthday cards, referral gifts, flowers, etc. (as requested)
  • Phones: Answer phones, direct inquiries to the appropriate person or department, retrieve voice mail messages and distribute
  • Assist clients with documents or requests

Requirements

Required: High school diploma and 5 years of related experience required. Incumbents in this position possess excellent organizational skills and can handle multiple tasks, simultaneously. Proficiency in Microsoft Office (Word, Excel and Outlook) is required.
