Administrative Assistant
Summary
The Administrative Assistant is responsible for supporting various members of the management team by efficiently managing administrative tasks, facilitating communication, and ensuring smooth operations within the organization.
Essential Functions
- Act as the primary point of contact for the reception area and maintain open and effective communication channels with internal team members, vendors, and all visitors, cultivating positive relationships on behalf of the manager.
- Conduct research, gather data, and prepare reports to support decision-making processes.
- Log and oversee the completion of key systems and provide follow-up for various tasks.
- Perform various clerical duties, which may include assisting with other departments.
- Screen and prioritize incoming calls, emails, and other correspondence.
- Handle confidential information with discretion and professionalism.
- Aid in the training of new team members in reception and assist with updating and managing the shared ride coordinator, if applicable, in the community.
- Perform all other related duties as assigned.

Physical Requirements
- Must be able to remain stationary 20% of the time.
- Must be able to frequently move about inside the facility to access file cabinets, office machinery, etc.
- Must be able to lift or carry items: Seldom: 11-25 pounds Occasionally: 11-25 pounds Frequently: 1-10 Pounds Constantly: Negligible weight
- Must occasionally ascend/descend stairs to provide essential services.
- Must succinctly communicate information and ideas so others will understand accurately exchanged information.
- Must consistently work in an office and an assisted living facility-type atmosphere.
Education Or Equivalent Qualifications
- Essential: High School/GED – General Studies
- Essential: 2 years; Administrative Support role
