Demonstrated Duties

  • Enters sales orders, processes acknowledgments, purchase orders (mail or fax), and shipping papers.
  • Attaches packing slips with appropriate paperwork upon shipment arrival at Crane.
  • Performs typing, emailing, or other administrative tasks as needed.
  • Determines the nature of callers' business and directs them to appropriate destinations.
  • Welcomes all guests by greeting them, answering questions, and referring inquiries.
  • Processes and distributes incoming and outgoing mail.
  • Aids in marketing initiatives by assisting with the creation, coordination, and distribution of marketing materials, maintaining promotional inventory, and coordinating events.
  • Supports team members across multiple departments by assisting with projects, preparing documents, coordinating communications, and ensuring efficient day-to-day operations.
  • Aids in scheduling and planning customer and internal meetings, coordinates any required meal catering, and manages calendars, schedules meetings, coordinates conference rooms, and arranges travel and meetings as needed.
  • Maintains organized filing systems, both electronic and paper.
  • Monitors and distributes Purchase Order in-box to appropriate designees.
  • Manages inventory of office supplies.
  • May perform other duties as assigned.

Qualifications

  • High school diploma or equivalent required.
  • Associate degree in Business Administration or related field preferred.
  • Two or more years of administrative assistant, office administration, or executive support experience preferred.
  • Ability to manage a wide variety of customer situations.
  • Meets commitments and maintains confidentiality.
  • Speaks clearly and persuasively in positive or negative situations.
  • Writes clearly and informatively and edits work for spelling and grammar.
  • Excellent customer service skills (friendly, courteous, and helpful).
  • Working knowledge of Microsoft Office (Word, Outlook, and some Excel).
