About the role

At Coborn's, we're looking for an organized, detail-oriented Administrative Assistant to join our team! In this role, you'll provide essential administrative support that helps keep our facility operating efficiently each day. You'll serve as a key resource for leaders, employees, vendors, and internal partners by coordinating communications, maintaining records, processing orders and invoices, preparing reports, and supporting a variety of daily business operations. This position plays an important role in ensuring accurate information, timely communication, and smooth coordination across multiple departments.

Responsibilities

  • Serve as one of the primary points of contact for the facility, providing professional support to employees, vendors, and internal business partners.
  • Answer phone calls and emails, route inquiries, coordinate meetings, and assist with resolving questions or concerns.
  • Process, verify, and submit orders accurately and on time while preparing and distributing reports, requisitions, product labels, and other operational documents.
  • Cookordinator invoice coding and processing while maintaining organized records, files, and documentation.
  • Support the Fresh Merchandising team by reviewing weekly advertisements, verifying pricing and promotional information, and coordinating follow-up with vendors and internal partners.
  • Prepare reports, correspondence, and other communications to support daily business operations.
  • Communicate production schedules, updates, and changes with vendors and internal teams.
  • Aid in contract administration, meeting preparation, and other administrative projects as assigned.
  • Assist with troubleshooting operational issues, escalating concerns when appropriate, and following through to resolution.
  • Maintain a clean, organized, and professional work environment.
  • Follow all company policies, procedures, and safety standards.
  • Perform other duties as assigned.

Qualifications

  • Strong organizational skills with exceptional attention to detail.
  • Excellent written and verbal communication skills.
  • Ability to prioritize multiple tasks while meeting deadlines in a fast-paced environment.
  • Strong customer service mindset with the ability to build positive relationships with employees, vendors, and business partners.
  • Proficiency with Microsoft Office and other business software applications.
  • Ability to work independently while contributing as part of a collaborative team.
  • Strong problem-solving skills and the ability to handle confidential information with professionalism.

Physical Requirements

  • Frequently lift and move up to 10 pounds independently.
  • Occasionally lift and move up to 25 pounds independently.
  • Regularly sit, stand, and walk throughout the workday.
  • Occasionally bend, stoop, climb, or balance.
  • Perform repetitive hand and finger movements, including keyboarding and fine motor tasks.
  • Use close vision, color vision, depth perception, and the ability to adjust focus.
  • Work in a fast-paced office and production environment with moderate noise levels.
  • Maintain regular, reliable attendance and flexibility to work evenings, weekends, and overtime as business needs require.
