Administrative Assistant
About the role
CESO is a nationally recognized architecture and engineering firm dedicated to empowering its people to positively impact communities. We seek an Administrative Assistant who can serve as the first point of contact, provide excellent customer service, and support office operations.
Responsibilities
- Greet and welcome visitors, clients, and staff professionally and courteously.
- Answer and direct incoming phone calls promptly and courteously.
- Handle incoming and outgoing mail, packages, and deliveries.
- Schedule and coordinate meetings, appointments, and conference room usage.
- Maintain office supplies inventory and place orders when necessary.
- Aid with general administrative duties such as data entry, filing, copying, and scanning.
- Work closely with building management to ensure timely resolution to office-related maintenance issues.
- Maintain a tidy and organized reception area reflecting a professional office environment.
- Handle office-wide announcements as needed.
- Collaborate with the local Office Leader to hit office goals, plan events, and track and manage the office budget.
- Monitor and maintain office security by following procedures and controlling access.
- Provide administrative support to various departments as needed.
- Collaborate with the administrative team to ensure business needs are being met on a local level.
- Resolve inquiries or redirect them to the appropriate staff member.
- Coordinate with IT for front desk or technical issues.
- Arrange travel for business needs.
Requirements
- High school diploma or General Education Degree (GED).
- 1-2 years of relevant experience in an administrative role.
- Notary in the State of business is preferred.
- Computer skills necessary to enter daily timesheet data and use Microsoft Outlook for email correspondence.
- Working knowledge of Microsoft Office Suite, Adobe PDF, and Bluebeam or similar software.
