About the role

Join a Two-Time 2025 Award-Winning Team 38-hour Workweek | Half Day Every Friday Compensation: $52,000 – $80,000 (commensurate with experience, and qualifications)

Responsibilities

  • Assist with coverage for administrative assistants, file clerks, and paralegals who are out of the office
  • Provide heavy calendaring support for attorneys, including scheduling and managing complex appointments
  • Cookordination with internal departments to confirm meetings and ensure scheduling accuracy
  • Complete billing entry and expense reports for attorneys
  • Communicate professionally with clients via phone and email
  • Create, update, and maintain database records with a high level of accuracy
  • Prepare routine correspondence and administrative documents
  • Help prepare documents for client meetings
  • Update project lists and spreadsheets
  • Aid in preparing flow charts for clients to depict project details
  • Assist with document production, formatting, and organization

Requirements

  • Minimum 2+ years of administrative experience in a law firm or office environment
  • Excellent administrative, verbal, and written communication skills
  • Strong attention to detail with a high degree of accuracy
  • Exceptional customer service skills and a professional demeanor
  • Excellent time management and organizational abilities, with the capacity to manage multiple priorities
  • Accurate typing skills and prior experience with Windows and Microsoft Office applications
  • Ability to operate standard office equipment, including computers, photocopiers/scanners, and fax machines

Preferred

  • 3 years of experience as an Executive Assistant, Administrative Assistant, or Legal Secretary in a law firm setting
  • Advanced project management skills
  • Experience working with document management systems and CRM platforms
  • College degree
