Administrative Assistant
Key Responsibilities
- Gather property-related documents (service contracts, inventory lists, etc.), ensure they are current, and store them electronically in the correct folders
- Manage property-related documents received at the corporate office, ensuring they are completed and returned in a timely manner
- Ensure Property Management reports are saved to the appropriate shared drive
- Gather signatures from required stakeholders
Reporting & Data
- Generate lender reports and submit to lenders and senior leadership
- Maintain and update department spreadsheets
Communication & Correspondence
- Draft and send letters and correspondence on behalf of the department
- Serve as a point of contact for document follow-up and coordination across teams
Financial & Operational Support
- Enter payables (expense and construction) for site approval
Events & Special Projects
- Aid in planning the company's annual Leadership Conference, including travel to support the event (approximately 1 week in April)
- Coordinate EA with quarterly team lunches and multiple conferences throughout the year
What You Should Bring
- 1–3 years of experience as an Administrative Assistant, preferably within a real estate investment environment
- Experience supporting a department or team
- Highly organized, with strong problem-solving skills and the ability to build systems and establish procedures
- Ability to multi-task, work well under pressure, and consistently meet deadlines
- Intermediate to advanced proficiency in Microsoft Office and Teams; experience with Yardi and Asana a plus
- Detail-oriented, with strong typing and proofreading skills
- Excellent organizational, written/verbal communication, and interpersonal skills
- Positive, team-oriented attitude
- Demonstrated ability to resolve conflict effectively and maintain a calm, professional work environment with managers and colleagues
