About the role
The Administrative Assistant plays a crucial role in ensuring a welcoming and professional experience for guests and callers, supporting office operations, and fostering a positive environment.
Responsibilities
- Greet in person visitors and/or callers; handle inquiries or direct them to the appropriate person according to their needs while always providing a great experience and leading with a customer service mentality.
- Create and maintain databases.
- Set up and maintain paper or electronic filing systems.
- Maintain confidentiality of business, clients, and other information.
- Maintain scheduling and event calendars including scheduling and confirming appointments and booking travel.
- Aid in the coordination and planning of company meetings.
- Aid in expense reporting.
- Aid in and coordinate marketing initiatives.
- Work with other employees as a team to accomplish assigned tasks and projects.
- Perform other duties and special projects, as assigned.
Requirements
- High school diploma or equivalent required.
- One (1) or more year of experience in an office environment in an administrative role.
- Knowledge of administrative and clerical procedures and systems.
- Texas Notary, preferred.
- Able to read, speak and write in English.
- Proficiency with Office software products (Word, Excel, Outlook, etc.).
- Able to work under stressful conditions at times.
- Strong work ethics of integrity and honesty and strives for excellence in all activities.
- Able to lift, push, and/or pull up to thirty-five (35) pounds without strain or injury.
