Job Description

The opportunity is available for an Administrative Assistant/Coordinator to provide administrative and operational support to the Vice President of Human Resources. This individual will serve as a partner to HR leadership, managing calendars, coordinating meetings and travel, and handling confidential information. The ideal candidate has prior experience supporting HR teams or executives, thrives in a fast-paced environment, and possesses organizational skills.

Responsibilities

  • Manage the VPHR’s calendar, schedule meetings, and coordinate travel arrangements.
  • Serve as the primary point of contact for internal and external communications.
  • Track and process expense reports for the VPHR.
  • Prepare, edit, and distribute documents, reports, and presentations.
  • Cook up meetings, including agenda preparation, minute-taking, and follow-ups.
  • Aid in planning and executing HR projects and initiatives.
  • Maintain and update HR databases and employee records.
  • Cook up HR-related events such as trainings, workshops, and team-building activities.
  • Handle sensitive information with a high level of confidentiality.
  • Support onboarding and offboarding processes as needed.

Requirements

  • Experience: 1–3 years in an HR Coordinator, HR Assistant, Administrative Assistant, Executive Assistant, or junior-level HR Generalist role. Must have experience supporting calendars, meetings, travel, or executive schedules and handling sensitive or confidential information.
  • Technical Skills: Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint). Experience with video conferencing tools such as Zoom or Microsoft Teams.

Qualifications

  • Bachelor’s degree in Human Resources, Business Administration, or a related field.
  • Experience supporting HR leaders or senior executives.
  • Experience with onboarding and offboarding activities.
  • Experience coordinating employee engagement programs.
  • Exposure to HR systems or employee records management.
  • Hospitality industry experience.
