About the role

This role is part of a pivotal team focused on advertising engineering and AI. You will provide comprehensive administrative support, manage complex schedules, coordinate travel arrangements, organize meetings and events, assist with departmental financial operations, personnel processes, and facility-related tasks. Your exceptional customer service and ability to handle special projects will enable remote colleagues to focus on their core responsibilities.

Responsibilities

  • Provide comprehensive administrative support primarily for an individual manager and secondarily for a broader team.
  • Proactively manage complex schedules and calendars, including potentially high-level executive calendars.
  • Cook up travel arrangements, ensuring smooth logistics for team members.
  • Organize and facilitate meetings and events, from planning to execution.
  • Aid in department financial operations, personnel processes, and facility-related tasks.
  • Handle tasks that require direct, in-person support, enabling remote colleagues to focus on their core responsibilities.
  • Manage office operations, including onboarding and offboarding processes for team members.
  • Deliver exceptional customer service to internal and external stakeholders.
  • Complete special projects as assigned, demonstrating adaptability and initiative.

Requirements

  • Minimum of 2 years of experience in an administrative support role, performing complex administrative functions.
  • Prioritized experience with office management, including onboarding and offboarding processes.
  • Demonstrated experience in customer service.
  • Extensive experience with calendar management, including acting as a delegate.
  • Strong organizational skills with the ability to manage multiple priorities and assertively manage bandwidth.
  • Excellent communication skills and the ability to say “no” constructively when necessary.
  • A positive attitude, strong work ethic, and good energy.
  • Ability to exercise discretion and independent judgment.

Qualifications

No specific degree or certification is required for this role. Disqualifiers include candidates with a history of constant job hopping or low tenure.

Skills

Proven experience with office management, including onboarding and offboarding processes. Demonstrated experience in customer service. Extensive experience with calendar management, including acting as a delegate. Strong organizational skills with the ability to manage multiple priorities and assertively manage bandwidth. Pay

The salary range for this position is $50,000 - $75,000 annually, commensurate with experience.

Schedule

The schedule for this role is typically full-time, with occasional evening and weekend work as needed.
