Administration Assistant (Construction)
The Project Assistant, under the direction of the Construction Director, participates in the conceptual development of facility projects and coordinates project and/or maintenance planning, organization, scheduling, and implementation.

Responsibilities
- Aid leadership in ensuring the project proceeds according to agreed-upon timelines, meeting targets and expectations, and adhering to established operating parameters.
- Coordinate activities involved in the preparation and distribution of correspondence to facilitate on-going communications and efficient operations for construction projects.
- Participate in and document project coordination meetings.
- Complete a wide range of tasks using Microsoft Office products such as Word, Excel, Project, and Procore software.
- Manage electronic project documents: contracts, change orders, invoices, insurance, reports, email communications, O&M manuals, record and as-built drawings, etc., and distribute documents to appropriate team members.
- Provide clerical/administrative support for the project team as requested, such as tracking payment applications, invoices, etc.
- Responsible for managing multiple tasks simultaneously to support leadership.
- Act as a point of contact for vendors, subcontractors, and various construction services teams and solicit quotes for new jobs.
- Completion of timecards for construction department staff.
- Completing P-Card receipt reconciliation.
- Overseeing material procurement for multiple construction projects.
Qualifications
MINIMUM QUALIFICATIONS:
- Education, Certification, and/or Licensure: Associate Degree in related field (Construction, engineering, architecture, or project management) OR High School Diploma/GED with 5 years of experience in related field.
- Experience: Three (3) years’ experience in construction or project management experience.
PREFERRED QUALIFICATIONS:
- Education, Certification, and/or Licensure: Bachelors Degree with an emphasis in Construction, engineering, architecture, or project management.
- Experience: Previous experience.
Skills and Abilities
- Interpreting and applying applicable laws, rules, and regulations;
- Analyzing problems, identifying alternative solutions, projecting consequences of proposed actions, and making recommendations in support of goals;
- Managing multiple on-going projects;
- Communicating effectively through oral and written mediums.
