Admin, Warehouse - Wrigley Field
Job Description
The Warehouse Admin is responsible for managing all administrative functions within warehouse operations, with a primary focus on scheduling, payroll compliance, employee records, and system management. This role ensures full compliance with CBA guidelines, company policies, and operational standards while supporting Warehouse Management through accurate documentation and structured communication.
Core Responsibilities
- Scheduling & Workforce Administration
- Build and manage weekly schedules strictly based on seniority and CBA requirements.
- Post and distribute schedules via email and designated communication channels.
- Process request-offs, shift adjustments, and availability updates.
- Communicate real-time schedule updates and changes to all team members.
- Maintain accurate employee rosters and availability records.
- Payroll & Timekeeping Compliance
- Manage timecard reviews and ensure accuracy prior to payroll submission.
- Process time correction forms with proper documentation and tracking.
- Administer holiday pay in accordance with CBA eligibility rules.
- Remove and track guarantee hours where applicable.
- Conduct daily attendance checks and resolve discrepancies.
- Compliance & Audit Management
- Conduct cost center audits to ensure labor is properly allocated.
- Maintain audit-ready records for payroll, attendance, and scheduling.
- Ensure all documentation complies with union agreements and company policies.
- Track and pay for forklift worked hours and related compliance records.
- Communication & Documentation
- Serve as the primary point of contact for all administrative communication with warehouse team members.
- Manage and maintain consistent email communication regarding schedules. Ensure all communication is clear, timely, and properly documented.
- Trackpath Enforcement & Corrective Action Support
- Enforce Trackpath compliance across warehouse operations.
- Build and document corrective actions for management review.
- Provide proper documentation to Managers for employee disciplinary administration.
- Off-Season Responsibilities (Yellow Dog System)
- Maintain and update inventory data within Yellow Dog Inventory system.
- Adjust pricing, item locations, and inventory categories.
- Manage and update par levels and product classifications.
- Ensure system accuracy and standardization across all warehouse locations.
