Admin Circle Member: Finance, Volunteer Management, Software Management

About the role

VillageCo is seeking dedicated and organized volunteers to join our Admin Circle. The Admin Circle handles the finances, volunteer management, and operational technology of the organization. As a circle member, you will be integral to organizing, overseeing, and sustaining the smooth operations vital to VillageCo's overall health and sustainability.

Key Responsibilities

• Financial and Legal: Assist with compensation, financial reporting, auditing, taxes, and budget organization. You may also help with general legal matters, including reporting and submissions for federal and state requirements.
• Volunteers and Circles: Support the recruitment, onboarding, development, and ongoing needs of our volunteers. Help foster a vibrant, healthy, and social organizational culture while promoting consistency and efficiencies across circle lifecycles.
• Technology: Maintain and enhance the ViCO platform. Manage software and digital accounts, including renewals, access, credentials, and administration, while evaluating new software systems and handling general IT matters.
• Active Collaboration: Attend scheduled monthly meetings, openly participate in developing and reviewing circle policies, and join specialized sub-circles or task forces as needed.

Desired Qualities & Expertise

• An interest in and care for the VillageCo mission and vision.
• Organizing experience and familiarity with local community-building.
• Experience with finance, bookkeeping, budgeting, or forecasting.
• A passion for volunteering and an interest in caring for volunteer teams.
• Experience managing, customizing, and evaluating software systems.
• Experience in training and facilitation.
• Comfort with engaging in the fiscal and/or legal aspects of an organization.

Time & Schedule Expectations

• Meeting Schedule: Able to regularly attend our monthly circle meeting, which takes place on the fourth Monday of every month at 10:00 AM Pacific Time / 1:00 PM Eastern Time for 90 minutes.
• Engagement: Openness to holding an active role within the circle (such as Leader, Facilitator, or Administrator) and a commitment to shared decision-making.

Steps to Become a Volunteer

• Orientation: Attend a Volunteer Orientation to meet some of our team members, learn more about VillageCo, and see if this opportunity feels like a good fit for you.
• Visit a Circle: Observe a Circle meeting as a visitor to get a feel for how we organize and work together. If you want to continue, attend a second Circle meeting as a full participant and join as a Member.
• Onboarding: Once you have joined a Circle, you'll have a 1:1 onboarding meeting with a volunteer manager to set you up on our software and answer any questions you may have.
