Responsibilities
- Schedule meetings and maintain calendars, including pro-actively handling scheduling conflicts.
- Works with confidential information, establishes priorities, and meets deadlines.
- Manage daily office operations, including supply ordering and work orders.
- Handle requests for information in a timely and professional manner, including assisting with prioritizing requests and handling responses as appropriate.
- Handle meeting preparation including room arrangements and recording minutes.
- Track and monitor expenses including handling/preparing expense reports.
- Organizes and maintains files systems.
- Maintains knowledge of organizational and department policies and the judgement to apply those appropriately.
- Gathers, organizes, and presents data required for financial analyses, quality reports, and departmental staffing as determined by the Director.
- May assist the Director with Time and Attendance.
Requirements
- High School Diploma or equivalent required.
- Associate degree preferred.
- 3-5 years’ clerical experience required.
- Proficiency in essential Microsoft Office applications (e.g., Word, Excel, Outlook).
- Strong organization and time management skills.
- Ability to use the KH intranet and internet effectively and efficiently.
- Strong multitasking abilities with attention to detail.
- Accurate and pleasant written and verbal communication skills.
- Strong teamwork abilities.
- Maintains a calm and reassuring demeanor when interacting with others.
- Ability to use good judgment and discretion within defined parameters.
- Capability to work independently with some guidance.
- Adaptability and flexibility to varying tasks and situations.
- Openness to receiving feedback and learning opportunities.
