ADDED DUTY CONTRACT: Building Test Coordinator
Reports to: Building Principal. Serves as liaison between school and Curriculum and Instruction Department.
About the role
The Building Test Coordinator has varying roles dependent upon the testing happening. For assessments not listed (DIAL, KDP), Central Office Personnel will work directly with the teachers administering the assessments, and you may or may not be asked to assist. The district recognizes that the time, care, and accountability needed to ensure smooth, consistent, and secure testing requires a devoted individual at each site. It is the responsibility of the BTC to attend all scheduled trainings regarding testing, whether they are offered by the Assessment Department, Student Services, Curriculum & Instruction, or an outside entity such as the State of Alaska or WIDA.
Responsibilities
MAP
- Work with the Site Tech to verify that all student computers have access to the MAP testing browser. Report any issues to InfoTech and Caitlin.
- Create all test sessions for students in your building, according to the teacher who will be testing them. Test sessions must be created at least one day prior to testing. If students are missing from the roster, or are rostered to the wrong class, contact Ian Acuna.
- Ensure students who receive accommodations per their IEP are given accommodations on their MAP testing. Verify the list of student accommodations with the Counselor, SPED teachers at your site, and the classroom teacher to ensure accuracy and compliance.
- Train each test proctor in test administration, either directly, through the Assessment team, or via the online modules provided by NWEA. Verify that each staff member has an NWEA testing account and can log in. If issues arise, contact Ian Acuna.
- Work with teachers and building administrators to ensure all students are given the appropriate test within the testing window. Schedules must be sent to Caitlin. For scheduling assistance, contact the Curriculum Department.
AIMSweb
- Ensure all teachers giving the AIMS benchmarking probes have access to the online system. If teachers or students are missing, contact Ian Acuna.
WIDA ACCESS (Regulated by WIDA and the state)
- Verify that all test administrators have signed level 4 Test Security Agreements (TSA’s).
- Verify that all test proctors have passed the WIDA online modules pertaining to the assessments they will administer. Work with Kathleen Fisher to ensure certificates are on file. Report any issues to Kathleen and Caitlin.
- Work with the Curriculum Department to determine which students need the assessment, then create a schedule to ensure all ELL students are tested.
- Ensure students who receive accommodations per their IEP are given accommodations on their ACCESS testing. Verify the list of student accommodations with Student Services, the Counselor, SPED teachers at your site, and the test proctor to ensure accuracy and compliance. Ensure Student Services has the WIDA Accommodations form.
- Assist in ordering materials for your building. Verify the list of students to be tested so proper materials can be ordered. Work with Kathleen to receive all WIDA ACCESS materials, which must be kept in a secured location and signed in and out to appropriate staff for testing.
NAEP (Regulated by the federal government)
- Work with your building principal to ensure the Government Representative has all necessary information.
- Ensure all required staff complete the necessary paperwork from the federal government.
PEAKS (Regulated by the state)
Before Testing- Verify that all test administrators have signed level 4 TSA’s.
- Verify that all student computers have the INSIGHT client installed. Work with the Site Tech to perform the configuration check; report any issues to InfoTech.
- Roster all students into test sessions. If difficulties arise, report them to Caitlin immediately.
- Print and organize test tickets (secure test items) by grade or teacher/classroom. Advise teachers to track students who do not test and keep their test tickets separate. Make-up students can use their original test ticket.
- Ensure each testing classroom has graph paper and blank scratch paper.
- Cover up or remove materials on walls where students will test.
- Broadcast testing dates via VHF or radio, reminding students to go to bed early and eat breakfast.
- Ensure students who receive the text-to-speech accommodation have headphones. Other students may use headphones to block noise, but if any student is allowed this option, all students must be given the same opportunity. Notify Caitlin by December 15 if additional headphones are needed.
- Provide each test administrator with a paper copy of the Test Administrator Directions (TAD) and Tech Support Guide.
- Ensure students who receive accommodations per their IEP are given accommodations on their PEAKS test. Verify the list of student accommodations with Student Services, the Counselor, SPED teachers at your site, and the test proctor to ensure accuracy and compliance. Ensure Student Services has the appropriate forms signed by the test administrator.
- Determine seating arrangements, ensuring there is enough room and space between seats, and establish a seating chart.
- Plan for homeschool students: determine when and where they will test, who will administer the test, and ensure they are rostered before testing begins. Notify Assessment of homeschool students and confirm contact with their home school.
- Create a plan for disruptive students, including who they are, where they will test, and who will administer their test.
- Ensure teachers store cell phones and laptops securely during testing. Cell phones must be off or silent and out of sight (not in pockets). Computers should be out of sight. Teachers may only use cell phones in emergencies if no landline is present.
- Post signs indicating "No electronics" and "Testing, do not disturb."
- Report any security breach (e.g., electronics in testing room, lost test materials, copied test materials) to Caitlin immediately and document in writing.
- Report any ethics breach (e.g., test administrator coaching students, helping students, paraphrasing questions) to Caitlin immediately and document in writing.
- Document special circumstances (e.g., student/parent refusal, medical waiver, absent student, invalidation) on an Irregularity Report.
- Create a plan with staff to ensure students know what they can do after finishing testing (e.g., quietly read a book, leave the room).
- Collect all Irregularity Reports, scan/email them to Caitlin.
- Document all parent refusals and send to Caitlin.
- Collect all test tickets: shred tickets for students who have finished both parts of a test; retain tickets for students who have not yet tested.
- Shred all used scratch paper. Teachers may shred it immediately after testing or turn it in to you for secure shredding.
Requirements
- High school graduate or equivalent required.
- Ability to pass a background check.
- Alaska Driver’s license preferred.
Pay
Subject to negotiated agreement added duty compensation range. Payment may be prorated based on meeting the responsibilities.
