Activity Director/Concierge

About the role
The Activity Director/Concierge will create and coordinate social, emotional, mental, and physical activity programs, as well as other resident-related functions, to achieve community goals related to resident retention. This role is integral to the sales process by working closely with the Community Manager and Sales Consultant/s to drive traffic to the community and contribute to year-end budgeted occupancy, revenue, and resident retention goals.
Responsibilities
- Resident Activities & Event Coordination
- Create and coordinate programs and events related to social and physical activities, including resident functions, birthday cards, welcome parties, off-site excursions, and other events.
- Responsible for the set-up, preparation, and take-down for each event. At least 2 to 5 activities or events per day, 7 days a week, are required (many may be led by residents).
- Create and produce the monthly calendar with activities and events, newsletters, and fliers for the community as needed.
- Photograph residents and events for use in cards, social media, newsletters, videos, and other media sources.
- Oversee the purchasing and coordination of any items required for events.
- Resident Relations & Community Engagement
- Meet with each new resident to create a profile of preferred activities and events.
- Interact with all residents and, if possible, acknowledge them by name.
- Provide assistance with ongoing Resident Surveys and Activity Questionnaires.
- Maintain confidentiality of pertinent information concerning residents and staff.
- Coordinate the resident volunteer program by enlisting volunteers and managing the volunteer schedule.
- Recruit and train volunteers from within the community to participate in events, activities, and clubs.
- Sales, Marketing & Outreach
- Greet all prospects warmly and professionally, qualify needs, and guide them through tours of available apartments.
- Maintain prospect attendance records for each event, collecting contact information for future use and follow-up.
- Assist with community tours and be knowledgeable of community and other policies.
- Create partnerships with local vendors, businesses, and organizations to enhance community events, including parties, door prizes, opportunity drawings, and sponsorships.
- Vendor & Transportation Coordination
- Schedule and manage transportation program, if provided.
- Interview and recommend local, licensed transportation companies to transport residents to off-site destinations and excursions.
- Coordinate the interview process and make recommendations for hiring qualified and certified instructors for on-site exercise and spa activities.
- Assist and train on-site staff to host successful resident activities and participate in events when possible.
- Budgeting & Administrative Support
- Provide input into the development of budget(s) for properties as it relates to planned activities, resident retention, and excursions.
- Manage expenses within approved budget guidelines.
- Resident Activities & Community Engagement
- Plan and implement resident activities and events based on residents' interests and needs.
- Develop innovative programs that encourage resident participation, wellness, entertainment, and social connection.
- Coordinate holiday celebrations, themed events, educational workshops, fitness classes, and social gatherings.
- Establish and coordinate the Community Resident Council and attend all meetings.
- Foster a warm, welcoming, and engaging environment throughout the community.
- Promote resident participation in activities, events, and community programs.
Requirements
- Strong communication, interpersonal, and organizational skills.
- Previous experience in activities coordination, hospitality, senior living, customer service, or community engagement preferred.
- Knowledge of Fair Housing regulations, ADA, and leasing compliance (or must complete training within 90 days).
- Proficiency in Microsoft Office and property management systems (e.g., Yardi or OneSite) preferred.
- Positive attitude, team-oriented mindset, and commitment to excellent customer service.
- Creative, energetic, and resident-focused mindset.
- Ability to work weekends and occasional holidays as needed.
- Must be able to walk the property daily, show apartments, climb stairs, bend, and lift light items.
- Frequent standing, walking, and interaction with residents and prospects.
- Must possess a valid driver’s license, automobile insurance, and reliable transportation for work-related travel.

Schedule
Full-time, on-site position at the assigned apartment community. Requires some weekend and holiday availability for tours, events, and operational coverage.
