About the Opportunity

The Accounts Receivable Specialist plays a crucial role in managing the company’s incoming payments and financial records. This position ensures accurate invoicing, timely collections, and effective communication with customers to maintain cash flow. The specialist contributes to optimizing the order-to-cash cycle and supports the accounting team by maintaining precise financial data and facilitating audit processes.

Responsibilities

  • Approve sales orders synchronized from Salesforce for accuracy
  • Review invoices for tax compliance using Avalara before sending to customers
  • Set up the organization as a vendor in third-party portals
  • Upload electronic invoices via customer procurement platforms like Ariba and Coupa
  • Upload tax exemption certificates to Avalara
  • Manage billing email inbox and respond promptly to inquiries
  • Resolve billing and invoicing discrepancies
  • Prioritize collection activities to maximize cash receipts
  • Issue dunning letters for overdue accounts
  • Contact customers to address overdue payments and assess payment issues
  • Disable platform access when payment is unlikely
  • Issue credit hold notifications
  • Suggest accounts for collection agencies
  • Suggest bad debt write-offs
  • Maintain accurate records of customer interactions
  • Perform special projects as requested by accounting/finance
  • Cookbook with internal departments to resolve billing and revenue inquiries
  • Identify improvements for the Virtual Post Mail process
  • Conduct month-end reconciliation between Salesforce and Netsuite
  • Provide documentation for internal and external audits
  • Support technical accounting and revenue teams with daily activities

Requirements

  • Associate degree in Accounting or related field
  • Minimum 3 years of experience with collections, invoicing, or accounts receivable
  • Proficient in Salesforce and Netsuite
  • Experience with e-invoicing platforms such as Ariba or Coupa
  • Skilled with Google Workspace and Microsoft Office
  • Effective remote communication and adherence to deadlines
  • Strong analytical and problem-solving skills with attention to detail
  • Excellent oral and written communication and customer service skills
  • Understanding of the full order-to-cash lifecycle
  • Knowledge of tax platforms like Avalara or similar

Pay Range and Compensation Package

The U.S. annualized pay range for this position is $60,000 to $70,000 USD. Additional opportunities for sales-based commissions may be available. Base pay may vary based on skills, experience, education, location, and market data.
