Accounts Receivable Representative

What You'll Do

  • Prepare and distribute customer invoices accurately and in a timely manner.
  • Receive, process, and reconcile customer payments, including ACH transactions and check deposits.
  • Maintain organized records of all customer payments, deposits, and supporting documentation.
  • Reconcile project expenses and close out completed jobs once final payments have been received.
  • Monitor customer accounts and communicate with Sales Representatives regarding overdue balances.
  • Answer billing questions and provide support to the Sales team throughout the project lifecycle.
  • Contact insurance companies to verify claim status and follow up on outstanding insurance payments.
  • Investigate and resolve billing discrepancies, payment issues, and customer concerns professionally and efficiently.
  • Prepare and maintain accurate aging reports to monitor outstanding receivables.
  • Collaborate with the Accounting department to ensure timely and accurate financial reporting.
  • Assist with month-end closing activities related to accounts receivable.
  • Deliver exceptional customer service while building positive relationships with homeowners, insurance carriers, and internal teams.
  • Identify opportunities to improve accounts receivable processes and overall efficiency.
  • Ensure compliance with company policies, accounting standards, and applicable legal requirements.
  • Utilize accounting software and internal systems to accurately maintain customer account records.

Who You Are

  • Organized, dependable, and enjoys working in a fast-paced environment where attention to detail matters.
  • 1-2 years of experience in Accounts Receivable, Accounting, Bookkeeping, or a related financial role.
  • 1-2 years of customer service experience with strong communication skills.
  • Basic understanding of accounting principles and financial recordkeeping.
  • Experience using accounting software and Microsoft Office, particularly Excel.
  • Strong attention to detail with excellent accuracy in data entry and documentation.
  • Excellent written and verbal communication skills.
  • Strong organizational and time management skills with the ability to prioritize multiple tasks.
  • Ability to work collaboratively across departments while maintaining professionalism.
  • Strong problem-solving skills and the ability to resolve customer concerns effectively.
  • Comfortable making outbound collection and follow-up calls while maintaining a positive customer experience.
  • Experience working with insurance claims or within the construction or roofing industry is a plus, but not required.
