Responsibilities

  • Serve as the business process owner for closing document and collections workflows, exercising authority over how processes are structured, governed, and executed across the organization.
  • Act as a point of escalation for complex closing document requests, account balance discrepancies, and collections issues - including situations not addressed by existing policy or procedure.
  • Establish, enforce, and refine escalation policies and decision thresholds for outstanding balances identified during the closing document process; determine appropriate resolution paths without requiring management involvement on routine matters.
  • Oversee the accurate and compliant preparation and delivery of closing documents - including resale certificates, status letters, HOA disclosure packages, and lender questionnaires - ensuring adherence to state statutes, association requirements, and contractual timeframes.
  • Own and govern collections activity for outstanding balances identified through the closing document process, including unpaid assessments, fines, and fees; determine collection strategy and escalation timing based on account circumstances.
  • Act as the internal subject matter expert and primary point of accountability for closing document and collections processes; field complex inquiries from title companies, lenders, real estate agents, and attorneys that require specialized knowledge and judgment.
  • Define and maintain the compliance framework for all closing document and collections activity, ensuring alignment with applicable state statutes, HOA governing documents, and regulatory requirements; identify and address compliance gaps proactively.
  • Lead cross-functional coordination with Accounting, Legal, and Operations on process exceptions, balance disputes, and systemic issues - representing the process function with full decision-making authority within defined scope.
  • Own the SOP framework for closing document and collections workflows; author, maintain, and update procedures to reflect regulatory changes, process improvements, and operational learning.
  • Analyze operational data to identify trends, risks, and improvement opportunities; develop and present KPI reports covering closing document volume, turnaround performance, collections recovery, and outstanding balance resolution.
  • Define business requirements for technology changes impacting closing or collections workflows; participate in UAT and validate outcomes against process standards.
  • Represent the process function in client-facing escalations and leadership discussions where subject matter expertise and independent judgment are required.
