About the Role
This position is primarily responsible for ensuring the timely and correct entry of the company’s expenses and liabilities. The Accounts Payable Specialist must possess meticulous attention to detail, accuracy, organization, and follow-through. This role requires close collaboration with others in accounting, emphasizing teamwork, communication, and collaboration.
Reports to: Accounts Payable Supervisor. Non-exempt position.
Responsibilities
- Manage and monitor the corporate credit card account (Divvy), including daily admin approval of coding for all posted transactions, adding/removing users, and miscellaneous maintenance.
- Maintain the Utility Analysis spreadsheet, tracking utility invoices, car counts, and related data with full ownership.
- Monitor the AP email inbox: research, respond, send invoices to bill.com, forward, file, etc., to ensure the inbox is emptied daily.
- Review and forward invoices to bill.com with appropriate coding.
- Assist in maintaining the centralized purchasing/accounts payable master system, including vendor creation, blocking, purging, maintenance, terms establishment, and account reconciliation.
- Research and resolve issues and exceptions.
- Assist with denied invoices, invoice responsibility dates, and related tasks.
- Maintain complete electronic files of invoices, forms, documents, and guides.
- Ensure adherence to company policies and procedures, including internal controls for financial transactions and approval authorizations as delegated by management.
- Assist with month-end close processes.
- Support tax and audit preparation.
- Work with RSM (outsourced accounting team) to provide required information.
- Assist the AR department with downloading and filing monthly merchant account statements.
- Perform other duties as assigned.
Requirements
- High School Diploma required; bachelor’s degree preferred.
- 5+ years of Accounts Payable experience with a high volume of payables.
- Excellent interpersonal, negotiation, and conflict resolution skills.
- Commitment to acting with integrity, professionalism, and confidentiality.
- Strong proficiency in Microsoft Office 365, including advanced knowledge of Pivot Tables and VLOOKUP.
Physical Demands
- Prolonged periods of sitting at a desk and working on a computer.
- Occasional prolonged periods of walking/standing.
- Ability to lift up to 15 pounds at times.
