Accounts Payable Manager

In this role, you will manage end-to-end Accounts Payable activities, ensuring accurate vendor setup, invoice processing, and payment execution. You will play a key part in close processes, reporting, and analysis, while partnering with internal teams and vendors to resolve issues and support strategic initiatives. Your work will directly impact cash flow management, financial accuracy, and the continuous improvement of AP operations.
Responsibilities
- Set up new vendors and maintain vendor master data in accordance with company policies and controls.
- Process invoices and purchase orders accurately and on time, ensuring proper coding, approvals, and documentation.
- Review vendor invoices for accuracy, investigate discrepancies, and resolve issues promptly.
- Prepare and process vendor payments, including bill payments, ACH, and wire transfers, in line with payment terms and schedules.
- Collaborate with engineering, procurement, construction, corporate development, finance, legal, and treasury to resolve AP-related issues and support business initiatives.
- Assist with month-end and year-end close by preparing journal entries and reconciling AP-related accounts.
- Prepare AP aging reports, monitor outstanding balances, and analyse vendor payment trends.
- Support financial reporting and variance analysis with accurate AP data and explanations.
- Engage vendors by phone to validate and confirm banking details, perform test payments, and handle invoice and payment inquiries.
- Maintain positive vendor relationships and manage account reconciliations, disputes, and issue resolution.
- Ensure AP activities comply with company policies, GAAP, and applicable regulatory requirements.
- Provide documentation and explanations to support internal and external audits of AP processes and transactions.
- Identify opportunities to streamline AP processes and improve efficiency, including leveraging AI automation while safeguarding data integrity.
- Support the implementation of new tools and practices to enhance AP accuracy and reduce cycle times.
Requirements
- Proven experience in an Accounts Payable or AP Analyst role with responsibility for end-to-end AP processing.
- Strong hands-on skills in vendor setup, invoice processing, PO matching, and payment execution (ACH, wires, and checks).
- Solid understanding of AP accounting, including accruals, journal entries, and account reconciliations.
- Experience supporting month-end and year-end close activities in a corporate finance environment.
- Proficiency with AP/ERP systems and intermediate Excel skills for reporting and analysis.
- Demonstrated ability to work cross-functionally with finance and non-finance teams to resolve issues.
- Strong attention to detail and accuracy, with the ability to manage high volumes of transactions.
- Clear, professional communication skills for managing vendor and internal stakeholder relationships.
- Ability to prioritise tasks, meet deadlines, and work independently with minimal supervision.
Skills
- Experience in a multi-entity or project-based environment (e.g., engineering, construction, or infrastructure).
- Exposure to AI-driven or automated AP tools and workflows.
- Background supporting audit requests and implementing internal controls improvements.
- Familiarity with treasury processes and cash management practices.
- Experience contributing to process improvement or system implementation projects.
Qualifications
- Bachelor's degree in Accounting, Finance, Business, or a related field preferred.
- Associate degree plus relevant AP experience will be considered.
- Professional certification such as Certified Accounts Payable Specialist (CAPS), Certified Accounts Payable Professional (CAPP), or similar is an advantage.
- Ongoing professional development in accounting, ERP systems, or process automation is beneficial.
