About the role
This position ensures all program debts to vendors and suppliers are paid accurately and on time. Work is moderately complex, demanding accuracy with numbers, ability to multi-task, prioritize, and knowledge of Accounts Payable (AP) processes and associated computer software.
Responsibilities
- Generates requisitions for purchase order processing in the YN Financial System; duties are tedious and repetitive.
- Coordinates closely with Central Accounting, Grants & Contracts, Property & Acquisition, Shipping & Receiving, various vendors, and program Bookkeepers/staff.
- Inputs and reconciles invoices and bills accurately and in a timely manner.
- Checks and monitors open purchase orders to prevent late payments.
- Obtains check numbers, dates of checks, and documents them on purchase orders for filing.
- Maintains complex filing systems for all necessary documents, including pending payments, obligations, pre-payments, and closed orders.
- Obtains coding and authorization from appropriate staff to pay invoices.
- Assists with AP email and online portals to print invoices/statements and process accordingly.
- Communicates effectively with vendors, both in writing and on the phone, responding to inquiries about the accounts payable process.
- Provides information on payment status and redirects inquiries to appropriate program staff if issues arise.
- Ensures confidentiality regarding program payment processing with vendors.
- Retrieves and disposes of files, records, or data as required by program staff.
- Operates standard office machinery, software, and equipment, including scanning documents to appropriate files/folders and maintaining the scanned filing system (AP Cuff).
- Maintains original purchase orders for proper storage, record retention, and audit trail purposes.
- Assists staff with Yakama Nation Tax Exemption status/forms.
- Performs other duties as assigned.
Requirements
- High School diploma or GED.
- Minimum of one (1) year of experience as a Bookkeeper, or equivalent coursework/training.
- Required to pass a pre-employment drug test.
Skills
- Knowledge and proficiency in Microsoft Dynamics D365 Financial System.
- Knowledge of accounting principles, practices, and terminology.
- Knowledge of Tribal property process for items needing asset tags.
- Strong analytical, time management, and multitasking skills.
- Ability to research and gather information on potential vendors and purchases.
- Ability to maintain accurate data and compose reports as necessary.
- Proficiency in typing, 10-key, and AP practices.
- Ability to establish and maintain effective working relationships and communicate professionally with staff, departments, and vendors.
- Ability to plan, organize work, and complete tasks independently or with minimal supervision.
- Ability to work with Tribal membership and the public in a pleasant and courteous manner.
- Ability to operate office equipment properly.
- Ability to comply with and demonstrate dependable work attendance.
- Ability to understand and follow oral and written instructions.
- Knowledge of grammar, punctuation, and spelling; ability to proofread documents and correspondence.
