Accounts Payable Clerk

Responsibilities

• Cook up invoice approvals and ensure all necessary documents are in place before processing payments.
• Take charge of assigning accounting codes and recording vendor invoices and company card transactions in QuickBooks.
• Plan payment schedules according to due dates, discounts, and agreed-upon vendor terms to enhance cash flow management.
• Prepare checks, verify backup payments against issued checks, obtain required authorizations, and distribute payments swiftly.
• Handle payment requests, execute online payments through approved company bank and credit card accounts, and address vendor inquiries.
• Submit required vendor documentation to support rebate programs and ensure records match external account balances.
• Check invoice coding and completeness by reviewing supporting operational logs and internal invoice tracking systems.
• Maintain organized accounting files, gather W-9 forms from vendors, and assist with month-end, year-end, and other accounting support tasks as needed.
• Offer accounts payable assistance for related real estate entities and collaborate with management across three business locations.

Requirements

• At least 3 years of experience in accounts payable or a closely related accounting support role.
• Hands-on expertise with QuickBooks, including invoice entry, coding, and payment processing.
• Proficiency in Microsoft Word and Excel, with accurate 10-key data entry by touch.
• Ability to juggle multiple tasks, stay organized, and complete assignments independently.
• Strong problem-solving skills with the capacity to investigate discrepancies and make informed decisions.
• Experience in a bakery, restaurant, food service, or similar fast-paced environment is preferred.
• Clear communication skills and the capability to interact effectively with vendors, managers, and internal stakeholders.
