About the Role
We are seeking a detail-oriented, analytical, and dependable Accounting Data Clerk to join our accounting team. This entry-level position supports both Accounting and Operations through data collection, analysis, document review, and compliance verification. The role serves as an additional internal check and verification point for company accounting and operational policies and procedures. Employees are expected to escalate concerns involving unexplained discrepancies, potential theft or loss, inaccurate reporting, missing documentation, or failure to follow established company procedures.
Responsibilities
- Compile and input financial and operational data from multiple retail locations into spreadsheets, databases, and accounting systems.
- Collect, organize, and analyze store-level data to identify trends, discrepancies, missing information, and unusual activity.
- Review financial records and supporting documentation for accuracy, consistency, and compliance with company policies and procedures.
- Apply critical-thinking and observational skills when reviewing store documentation rather than relying solely on data entry.
- Identify and report unusual transactions, unexplained discrepancies, inventory or financial irregularities, potential theft or loss, and other activity requiring management review.
- Compare information across receipts, invoices, purchase orders, sales records, spreadsheets, deposits, and other supporting documentation to verify that transactions are properly documented.
- Assist with reconciling receipts, invoices, purchase orders, payments, and other accounting documentation.
- Identify missing, incomplete, altered, inconsistent, or questionable documentation and follow up as necessary.
- Verify that retail locations are following established accounting and operational policies, procedures, and documentation requirements.
- Escalate significant discrepancies or suspected policy violations to the appropriate Accounting, Operations, or management personnel.
- Manage scanning software to digitize, organize, and securely store accounting and operational documents.
- Complete accurate data entry of scanned and submitted documents into company systems and validate entered data for accuracy and completeness before final submission.
- Assist with preparing routine financial, operational, exception, and discrepancy reports.
- Communicate with retail store managers to clarify discrepancies, obtain missing documentation, and resolve incomplete submissions.
- Maintain organized digital and physical filing systems for accounting documentation.
- Track outstanding documentation and follow up with locations until required information is received.
- Ensure data collection, verification, and reporting responsibilities are completed within established monthly reporting deadlines.
- Maintain confidentiality when reviewing financial records, employee information, investigations, and other sensitive company information.
- Provide administrative and analytical support to the Accounting and Operations teams as needed.

Qualifications
- High school diploma or equivalent required.
- Associate's degree in Accounting, Business, Finance, or a related field preferred.
- 0–2 years of relevant experience in accounting, data entry, auditing, administrative support, loss prevention, or a related field.
- Strong proficiency in Microsoft Excel, including basic spreadsheets, formulas, sorting, filtering, and data comparison.
- Ability to analyze data and recognize discrepancies or unusual patterns.
- Strong critical-thinking and problem-solving abilities.
- Exceptional attention to detail and accuracy.
- Strong observational and organizational skills.
- Ability to manage repetitive, high-volume work without sacrificing accuracy.
- Effective written and verbal communication skills, particularly when following up with retail locations regarding missing or inconsistent information.
- Ability to maintain confidentiality and follow established company processes.
- Familiarity with scanning software, accounting systems, and digital filing systems is a plus.
Schedule
Office-based position. Monday through Friday, 8:00 a.m. to 5:00 p.m.
Work Environment
- Requires extended computer use, spreadsheet work, document review, and operation of scanning equipment.
- Requires frequent communication with store-level personnel by telephone and email.
- Involves reviewing a high volume of financial and operational documentation and meeting established reporting deadlines.
