Responsibilities
- Monitor the Littler Global Desk inbox and timely follow up with internal and external customers
- Process invoices for payment
- Respond to and coordinate payment inquiries
- Ensure the correct setup and maintenance of client and matters in 3E necessary to track all inbound and outbound referral matters
- Determine next course of corrective action when a significant variance occurs in a Global matter that may be material to the Firm’s financial statements
- Prepare monthly voucher report to facilitate monthly billing
- Generate and send monthly invoices
- Routinely run, review, prepare, and send accounts receivable statements
- Aid in providing bonus status reports to attorneys
- Collaborate and communicate with department team members, accounting & finance group departments, Littler Global firms & leadership, and other corporate / firm departments
- Promote positive work habits, including effective and timely communication, teamwork, and respect for co-workers
- Execute multiple tasks and high workload volume without material impact on error rates or client service
- Exercise sound judgment in financial and accounting matters
- Communicate in person and via e-mail and telephone with internal and external clients and vendors, receive instructions and provide information with ordinary courtesy and tact
- Execute tasks efficiently and effectively within expected timeframes
Qualifications
- Basic knowledge of accounting concepts, typically acquired from a degree in accounting or a comparable field and/or 2-3 years of accounting related experience in a high volume, multi-location, multi-currency accounting function, ideally in a Law Firm or other Professional Services and/or owner managed environment.
- Proficiency in Microsoft Excel, sufficient to assist with account analysis and reconciliation.
- Ability to leverage Microsoft Outlook and Microsoft Word to communicate effectively, create, and edit documents.
- Demonstrated ability to execute transactions, and extract and analyze data from Elite/3E and Aderant and/or data-cube warehouse environments.
- Demonstrated knowledge of legal electronic billing practices and procedures sufficient to submit invoices.
- Demonstrated experience with eBilling Hub software.
- Demonstrated knowledge of billing best practices, policies and processes sufficient to supervise, review and approve billing transactions as well as execute transaction posting, analysis, reconciliation and validation of multi-currency bills.
- Proven ability to exercise sound judgment in financial and accounting matters.
- Demonstrated ability to effectively raise issues and consult with department manager to resolve issues and ensure compliance with firm policies and procedures.
- Demonstrated ability to articulate process steps and draw comparisons between processes and measures of output such as productivity, efficiency, and quality.
- Demonstrated ability to communicate in person and via e-mail and telephone with internal and external clients and vendors, receive instructions and provide information with ordinary courtesy and tact.
- Proven ability to execute tasks efficiently and effectively within expected timeframes.
About the Role
The Littler Global Accounting Coordinator is responsible for ensuring department transactional and ad-hoc activities are completed timely and accurately and documented in accordance with Firm policies and relevant external requirements and regulations. This is a hybrid position located in Kansas City, Missouri.
