Key Responsibilities
- Accurately enter vendor invoices into QuickBooks to ensure proper tracking and approval prior to payment.
- Review invoices for completeness, accuracy, and proper documentation.
- Update QuickBooks to reflect payments made (check, ACH, wire, credit card).
- Maintain organized digital and/or physical invoice and payment records.
- Aid with accounts payable processing and vendor file maintenance.
- Reconcile vendor statements and flag discrepancies.
- Support month-end closing activities, including data verification and reporting assistance.
- Cook up coordination with internal account teams to ensure proper invoicing and documentation.
- Perform general administrative tasks to support the accounting department.
- Reformatting digital invoicing.
- Aid with special projects and process improvements as needed.
Experience, Education, And Skills
- 1–3 years of accounting, bookkeeping, or data entry experience preferred.
- QuickBooks experience strongly preferred.
- Strong data entry skills with high level of accuracy and attention to detail.
- Proficiency in Microsoft Excel and Microsoft Office.
- Strong organizational and time management skills.
- Ability to manage multiple tasks and meet deadlines.
- Clear and professional communication skills.
- Experience in an advertising agency or media environment is a plus.
