About the role

A boutique accounting firm is seeking a highly organized and proactive Client Services Manager to support the Principal CPA, staff, and clients. This person will serve as a key administrative and client-service resource, ensuring the Principal and firm stay organized, deadlines are met, clients receive timely communication, and day-to-day office operations run smoothly.

Responsibilities

  • Serve as a primary point of contact for clients, vendors, and internal staff.
  • Monitor, prioritize, and respond to inbound communications.
  • Manage the Principal's calendar, appointments, meetings, and deadlines.
  • Track client deliverables, due dates, engagement letters, and follow-ups.
  • Maintain organized digital and physical client files and confidential records.
  • Manage secure document exchanges between clients and staff.
  • Prepare correspondence, meeting agendas, documents, and client materials.
  • Schedule meetings, take notes, and track action items through completion.
  • Support mail, scanning, filing, and general office administration.
  • Assist with travel and accommodations for staff and clients.
  • Track expenses, receipts, supplies, and basic budget information.
  • Assist with accounting-related administrative tasks and QuickBooks coding.
  • Maintain office supplies and ensure the Principal's office is organized.
  • Provide occasional personal and administrative support to the Principal.
  • Handle sensitive financial and client information with discretion.

Requirements

  • 3-5 years of experience in a similar administrative, executive support, office management, or client services role.
  • Experience in accounting, financial services, or professional services is strongly preferred.
  • Bachelor's degree preferred.
  • Excellent written and verbal communication skills.
  • Strong organizational skills and exceptional attention to detail.
  • Ability to prioritize multiple deadlines and follow through independently.
  • Proficiency with Microsoft Word, Excel, Google Workspace, Dropbox, and Zoom.
  • Basic understanding of digital/server file organization.
  • QuickBooks experience is a plus.
  • Professional appearance and polished client-facing communication.
  • High level of discretion and integrity.
  • Comfortable working hands-on in a fast-paced office environment.
  • Ability to lift up to 25 pounds when needed.
  • Willingness to work overtime and follow the firm's restricted-vacation policy during tax season.
