About the role
This position manages the processing of invoices for payment and expense tracking in a timely manner, ensuring proper coding in accordance with the company chart of accounts.
Responsibilities
- Sort invoices received through mail and other sources, attach purchase orders where applicable, and prepare them for review and signature by the department head.
- Set up new vendors in the accounting system for accounts payable, update 1099 status based on W-9 forms from vendors.
- Process purchase orders once approved by the department head, general manager, and controller, and maintain the purchase order log.
- Enter invoices for payment, confirm expense coding, and verify proper invoice signing.
- Prepare invoice batches for approval and process accounts payable checks after batch approval, attaching backup documentation, distributing originals, and filing.
- Maintain the monthly vendor log and review it at month-end to ensure all invoices have been received.
- Prepare accruals based on regular expenses and backup provided by department heads for the controller.
- Prepare a monthly list of invoices requiring use tax payments.
- Respond to all invoice discrepancies monthly to ensure accounts are balanced.
- Support other departments to ensure compliance with hotel policies and procedures.
- Perform additional duties as assigned by management.
Requirements
- High school diploma or equivalent; proof of authorization/eligibility to work in the United States.
- College degree preferred, ideally in accounting, finance, or related fields (not required).
- Accounting experience and prior hotel experience are preferable but not required.
Skills
- Accurate and timely data entry using a computer keyboard or calculator.
- Ability to remain calm under stress in a fast-paced work environment with noise and frequent interruptions.
- Proficiency in operating office machines with speed and accuracy.
- Strong communication skills using touch-tone phones, written materials, and speech.
- Ability to read and understand English for reports, instructions, and other written materials.
- Proficiency in Microsoft Word, Excel, Outlook, Internet Explorer, and hotel property management and accounting software.
Physical Requirements
- Must maintain a neat, clean, and well-groomed appearance (specific standards available).
- Long periods of sitting and repetitive motion of hands, wrists, and fingers (up to 75% of the workday).
- Occasional standing, walking, climbing stairs, reaching, and lifting or moving office supplies up to 20 pounds.
