About the role
The Accounting Associate III supports the Montana Western Foundation and Alumni Office in achieving the organization's mission. This role involves supporting donor, student, and alumni activities, managing various accounts, and providing administrative and clerical support.
Responsibilities
- Processes payments in the form of memberships, gifts, event income, and miscellaneous payments to the UMW Foundation.
- Create invoices and track receivables for the UMW Foundation.
- Prepare payments through UMW Foundation accounting software (Abila), journal entries, and monthly reconciliations.
- Maintain and reconcile monthly revenue and expenses, accounts payable and receivables, ensuring accuracy and compliance with financial policies.
- Compose and send effective and authentic correspondence to donors and alumni.
- Communicate with donors, alumni, staff, students, parents, vendors, and visitors via phone or email.
- Create and compile financial reports such as budget reports, fiscal year-end reports, operational reports, endowment reports, and development team reports.
- Manage and update alumni/donor databases, including entering gifts and donations and recording activities of each alumnus/donor.
Requirements
- Associates Degree with accounting coursework and/or computer technology, plus four years of progressively responsible experience.
- Preferred: Bachelor’s Degree in Business Administration with accounting coursework and/or computer technology, plus four years of progressively responsible experience.

- Knowledge of accounting principles and practices.
- Ability to reconcile accounts and work within established University and State guidelines.
- Experience with billing processes and procedures.
- Proficiency in banking processes and procedures.
- Skills in personal computers and related software (word processing, spreadsheet, and database).
- Excellent public relations, interpersonal, and communication skills.
- Ability to handle multiple tasks and meet deadlines in a fast-paced environment.
- Strong organizational, time management, and multi-tasking skills.

Pay
The starting salary for this position is $17.337 - $21.671 per hour.
