Position Overview

The Accounting and Administration Associate at Gigawatt Operations Inc. dba Sol-up and its subsidiaries is responsible for managing critical functions related to solar financing, collections, customer relations, referral programs, and Return Merchandise Authorization (RMA) processing. This role plays a key part in supporting financial and operational efficiency and ensuring a high level of service in customer interactions and transaction accuracy.

Solar Financing Management

  • Monitoring and managing solar financing applications, ensuring completeness and compliance with financing criteria.
  • Liaising with financing partners to resolve application and funding issues.
  • Tracking financing approvals and funding timelines, communicating progress to customers.

Collections Management

  • Maintaining accounts receivable, following up on overdue payments, and maintaining positive customer relations.
  • Implementing and managing collection strategies to reduce outstanding balances and minimize receivables aging.
  • Generating and reviewing aging reports, providing status updates to the Accounting Lead.

Customer Relations

  • Serving as a point of contact for customer inquiries regarding billing, payments, and financing.
  • Addressing and resolving customer issues professionally, ensuring timely responses and accurate information.
  • Collaborating with other departments to handle escalated customer concerns and ensure customer satisfaction.

Additional Tasks

  • Managing business permits and licenses, tracking renewals and compliance.
  • Preparing and issuing in-house checks for various business transactions.
  • Preparation, filing, and tracking of mechanical liens and demand letters for collections and project management.
  • Assisting with month-end and year-end close processes, including reconciliation tasks.
  • Generating and maintaining reports on key financial and operational metrics.
  • Supporting the Accounting Lead in implementing process improvements and maintaining compliance with policies.
  • Performing other related duties as assigned to support the administration and accounting team.
  • Assisting the CFO in implementing policies and procedures to improve efficiency and compliance.

Five-Star Skills Required

  • Financial and Collections Acumen: Solid understanding of accounts receivable processes, collection strategies, and customer financing.
  • Attention to Detail: High level of accuracy in processing financial transactions, referrals, and RMAs; ability to detect and correct discrepancies.
  • Customer Service and Communication: Strong verbal and written communication skills for interacting with customers and internal teams; ability to handle inquiries and complaints professionally and tactfully.
  • Organizational and Time Management Skills: Capable of managing multiple responsibilities, meeting deadlines, and prioritizing tasks effectively; strong organizational skills for accurate record-keeping.
  • Problem-Solving and Adaptability: Skilled at identifying issues and implementing solutions; adaptable to changing processes or customer needs with a proactive approach.

Qualifications

  • Education: Associate degree in accounting, Finance, Business Administration, or related field preferred.
  • Experience: 2-3 years of experience in accounting, customer service, or administration.
  • Skills: Familiarity with financing, collections, and customer service practices; proficiency in accounting software and Microsoft Office (Excel, Word, Outlook).
  • Other: Strong attention to detail and organizational skills.

Preferred Qualifications

  • Experience: Experience with CRM software and solar financing processes; previous experience in collections or accounts receivable roles within a service-based organization.

Working Conditions

  • Role: Office-based role with a minimum of 40 hours per week; additional hours may be required during peak periods.
  • Customer Meetings: Occasional customer meetings may be required.
