Responsibilities
- Maintain accurate general ledger entries in QuickBooks and iPoint.
- Reconcile bank and credit card statements monthly.
- Post and track journal entries and accruals.
- Prepare monthly financial reports including P&L, balance sheet, and cash flow statements.
- Manage vendor invoicing, payments, and purchase order compliance.
- Monitor and process customer billing and collections in a timely manner.
- Track retainage and manage outstanding balances.
- Ensure all project expenses (materials, labor, subcontractors) are accurately coded and allocated in iPoint.
- Track costs against budget and generate reports for project managers.
- Aid in preparing work-in-progress (WIP) reports and job profitability summaries.
- Oversee bi-weekly payroll submission and review for accuracy.
- Process employee reimbursements and ensure policy compliance.
- Manage and track sales commissions in coordination with sales leadership.
- Monitor daily cash balances, forecast short-term needs, and alert leadership to variances.
- Aid in cash flow planning and reserve management.
- Utilize iPoint ERP system to manage job costing, time tracking, and accounting integration.
- Push accounting data from iPoint into QuickBooks for consolidated reporting.
- Organize and maintain centralized Excel/SharePoint files for key financial metrics and KPIs.
- Daily use of the following software:
- Quickbooks Enterprise on Premise – Accounting and payments
- T-sheets – time tracking management – for old projects only
- iPoint – Industry ERP software for project management, time tracking, and job costing
- D-Tools – proposal software for the company, grabbing profit reports and comparing to QuickBooks – for old projects only
- Slack – internal office communications
- Office 365 Suite (Word, Excel, SharePoint. One Drive, Outlook, and Power Point)
- Zoom – Video Conferencing
- Zoho Sign – Project contract signatures
- Support preparation of documentation for tax filings (sales tax, income tax).
- Aid in preparing information for external accountants and auditors.
- Ensure financial procedures comply with internal controls and accounting standards.
- Recommend and implement improvements to increase efficiency and accuracy.
- Support automation of reporting functions or document management processes.
Requirements
- Education: Bachelor’s degree in accounting, Finance, or related field.
- Experience: 3+ years of hands-on accounting experience (preferably in construction, AV integration, or project-based industries).
- Software Proficiency: Must have strong QuickBooks experience; familiarity with iPoint or similar ERP/project accounting systems is a plus.
- Technical Skills: Solid understanding of accounting principles (GAAP), job costing, and reconciliations.
- Attention to Detail: High accuracy in transaction entry and financial reporting.
- Communication: Clear communicator who can work with project managers and other departments to ensure proper cost tracking and financial compliance.
