Job Description
- Aid with the preparation, administration, and submission of grants
- Made recommendations to supervisors on the interpretation of grant rules and regulations
- Keep accurate ledgers for grant/project awards
- Process grants financial activity reports and grant reimbursements
- Enter GL journals in PeopleSoft
- Provide projections as requested by the Director of the Fiscal Section
- Assist with quarterly review of the state’s Schedule of Expenditures of Federal Awards
- Serve as liaison to federal, state, and local agencies as directed by the Director of the Fiscal Division
- Represent the Department at meetings with various state and federal agencies
- Audit expenditures posted to grants to ensure accuracy and consistency with state and federal guidelines
- Prepare and submit federal drawdown requests for reimbursement of expenditures
- Prepare quarterly estimated expenditure reports for program personnel to ensure full utilization of federal funds
- Perform other duties as required
Required
- Bachelor’s Degree in Administration or Accounting (related academic training or work experience may substitute for degree where appropriate)
- Ability to resolve financial inquiries
- Working knowledge of state and federal accounting procedures
- Working knowledge of the state’s federal draw billing process
- Knowledge of state procurement procedures
- Ability to work with computerized word processing, spreadsheets, databases, and software
- Ability to operate and maintain office equipment, including computers and copy machines
- Function independently
- Maintain confidentiality
- Interpret and apply rules, regulations, and guidelines (Federal and State)
- Must be able to access, input, retrieve, and analyze information using a computer
- Communicate effectively, both verbally and in writing
- Organize, file, and retrieve information
- Proofread documents for accuracy
- Work with minimal supervision, prioritize work, and meet deadlines
- Apply basic accounting and math skills
Preferred
- Experience with federal audits and grant financial management
- Familiarity with PeopleSoft and federal drawdown billing processes
Physical Demands
- Ability to safely and successfully perform the essential job functions consistent with the ADA and other federal, state, and local standards
- Conduct repetitive tasks on a computer, utilizing a mouse, keyboard, and monitor
- Communicate with customers/team members over the phone and in person
- Sedentary work that involves sitting or remaining stationary most of the time with occasional need to move around the office to attend meetings, etc.
