Summary Of Duties And Responsibilities
- Provide technical support in maintaining and processing procurement information by reconciling accounts, maintaining, updating, and adjusting records.
- Obtaining, gathering, verifying, summarizing, and providing information.
- Procuring routine office purchase orders.
- Responding to customer inquiries.
- Verify financial documents by reviewing and interpreting contractual agreements, State statutes, Comptroller guidelines, purchase orders, Attorney General Policies and Procedures, and other related documents.
- Document and process financial transactions by verifying information for data entry on Excel spreadsheets; auditing vouchers and supporting documents; securing authorization for payment.
- Maintain historical financial records by updating, adjusting, and entering information onto expenditure spreadsheets.
- Aid professional staff by reviewing vouchers prior to presenting for payment; obtaining financial information regarding funds/appropriations/obligations/grants; preparing basic reports; providing records and information; calculating and summarizing data; and answering customer inquiries.
- Aid other staff by maintaining detailed records; coding, preparing, and processing routine procurement documents; and answering routine questions.
- Maintain customer confidence and protect operations by keeping procurement information confidential.
- Contribute to the team effort by accomplishing related results in a cooperative and collaborative manner.
- May be required to cross train and be a backup on other procurement functions.
Qualifications
- Completion of two years of college and one year of purchasing/procurement experience, or four years of purchasing/procurement experience, or any equivalent combination of training and experience.
- Some knowledge of State Purchasing rules, the Illinois Procurement Code, and other applicable regulations.
- Familiarity with standard office accounting machines and personal computers.
- Ability to maintain satisfactory working relationships with other employees and the general public.

Position requires in-office attendance.
