Account Clerk III - Fiscal (Location: Trinity County)
This position is located in Trinity County, CA and is based in Weaverville. Attendance is in-person only; no teleworking or remote work is available. Interviews will be conducted in person.
About the role
Under limited supervision, the Account Clerk III performs specialized clerical accounting duties in the preparation and maintenance of financial and statistical records in a manual or automated environment. This role involves explaining rules, policies, and operations related to the assigned work area, serving as a lead-worker, and providing training and work assignments to fiscal support staff. The Account Clerk III is the advanced journey level in the Account Clerk series, acting as a lead-worker or exercising detailed and complex subject-matter knowledge of a specific program area or specialized system.
The primary duties of the Account Clerk involve the application of mathematical skills and the interpretation of rules and procedures requiring sustained use of financial, statistical, and numerical data, distinguishing it from the Office Assistant role, which focuses on general office support with incidental mathematical tasks.
Responsibilities
- Instruct employees in the interpretation and application of laws, regulations, policies, and procedures related to fiscal and statistical record-keeping as a lead-worker.
- Act as a technical resource on difficult problems or specialized issues; prioritize and manage workload distribution.
- Monitor quality and timeliness of unit work; provide individual instruction to co-workers for work deficiencies and feedback to supervisors.
- Assist the public by answering inquiries about policies and procedures, resolving discrepancies, dispersing information, or referring clients to appropriate personnel.
- Prepare statistical, fiscal, and case record reports required by state, federal, and local agencies by extracting and arranging information from source documents or computer reports.
- Assist with compilation of budget information, including work and time records.
- Receive and verify bills, invoices, vouchers, purchase orders, claims, and related materials; tabulate amounts, code data for processing, and post revenue and expenditures.
- Adjust accounts, proof and balance totals, trace and correct errors, and maintain financial, statistical, work, time, payroll, and case record information.
- Handle money transactions, including collecting and disbursing monies, maintaining receipt records, reconciling cash statements, and processing documents such as invoices and purchase orders.
- Verify and process bank deposits and deposit funds in appropriate accounts.
- Correspond with public and private organizations/agencies to obtain or verify information via letters, memos, or documents.
- Operate automated systems to produce notices, checks, graphs, charts, letters, reports, legal documents, spreadsheets, and standardized forms for fiscal and statistical reports.
- Troubleshoot problems related to automated systems.
- Perform related duties as assigned.
Requirements
Knowledge
- Advanced mathematics and statistics, including complex decimal, fraction, percentage formulas, and statistical calculations.
- Grammar, vocabulary, spelling, punctuation, and composition.

Qualifications
- Two (2) years of full-time clerical accounting experience performing fiscal or statistical work in an office environment, with one (1) year of full-time experience at the journey level.
- Thirty (30) semester units or forty-five (45) quarter units that included coursework in basic financial and statistical recordkeeping, mathematics (e.g., addition, subtraction, multiplication, division, decimals, fractions, percentages), or computer applications and spreadsheet software may substitute for up to one year of qualifying experience.
- Qualifying experience or education may be combined to meet the requirements; fifteen (15) semester units or twenty-two and one-half (22.5) quarter units equal six months of experience.
- Transcripts must be attached to the application if using education to meet minimum qualifications. Applicants with foreign transcripts must provide a transcript evaluation indicating the number of equivalent units. Transcripts and evaluations may be unofficial but must be provided upon appointment. Birthdates and social security numbers should be redacted.
