Responsibilities
- Supports the operations of the Access Management Team.
- Supports patient access by optimizing scheduling templates within Epic Cadence.
- Responsible for the design, monitoring and maintenance of Epic-based scheduling templates.
- PARTNERS WITH ACCESS TEAM, EPIC CADENCE TEAM, OPERATIONAL LEADERS AND END USERS TO IMPLEMENT CHANGES.
- MONITORS TRENDS TO IMPROVE PATIENT ACCESS.
- Incorporates access-related principles, policies and standards into template design, build and maintenance.
- MONITORS SCHEDULE CHANGE REQUESTS AND WORKS WITH PROVIDERS, CLINIC MANAGERS, SUPERVISORS, AND SCHEDULERS TO IDENTIFY OPPORTUNITIES FOR IMPROVING SCHEDULING PROCESSES AND TEMPLATE UTILIZATION.
- DEVELOPS AND MODIFIES SCHEDULING TEMPLATES TO OPTIMIZE PROVIDER TIME IN CLINIC AND ASSISTS IN ENHANCING PATIENT ACCESS, PROVIDER SCHEDULING RATES, AND PROVIDER PRODUCTIVITY.
Essential Functions
- Maintain and update scheduling templates, including routine and complex scheduling needs (i.e., multiple providers, resources, modalities, and/or multiple appointments scheduled across multiple departments simultaneously).
- Incorporate organizational goals and access standards into provider templates.
- BUILD TEMPLATES FOR NEW PROVIDERS USING ESTABLISHED STANDARDS.
- Maintain version control, documentation, and compliance standards for all template builds, scheduling standards, and approved changes.
- SERVE AS A LIASON TO AMBULATORY DEPARTMENTS, ACTING AS THE PRIMARY POINT OF COORDINATION FOR PROVIDERS AS IT RELATES TO EPIC UTILIZATION AND RESOURCE DESIGN AND DEPLOYMENT.
- MONITOR CLINIC SCHEDULES AND WORK CLOSER WITH ACCESS STAFF TO ENSURE ACCURATE AND EFFICIENT USE OF PROVIDER TIME.
- SERVE AS A LIAISON TO ACCESS MANAGEMENT TEAM, APPOINTMENT CENTER, AND SERVICE LINE ADMINISTRATORS TO IDENTIFY, REVIEW, AND MAKE RECOMMENDATIONS REGARDING SCHEDULING TEMPLATE ENHANCEMENTS.
- TRUBleshoot AND RESOLVE TEMPLATE-RELATED ISSUES IN COORDINATION WITH IT, THE APPOINTMENT CENTER, AND CLINIC OPERATIONS.
- RESPOND QUICKLY TO URGENT TEMPLATE ADJUSTMENTS AND TRUBleshoot ISSUES; ESCALATE CROSS-APPLICATION CONCERNS AS NEEDED.
- COLLABORATE WITH ACCESS OPERATIONS ANALYST TO TRANSLATE RECOMMENDATIONS INTO SYSTEM CHANGES.
- TEST AND VALIDATE SCHEDULING TEMPLATES TO ENSURE INTEGRITY, USABILITY, AND COMPLIANCE WITH ORGANIZATIONAL STANDARDS, POLICIES, AND PROCEDURES (60%).
Data, Analytics and Reporting
- PULL AND ANALYZE EPIC REPORTS TO IDENTIFY PATIENT ACCESS TRENDS AND ANALYZE TEMPLATE PERFORMANCE (E.G., UTILIZATION, FILL RATES, SUPPLY-DEMAND BALANCE).
- USE REPORTING TOOLS TO DEVELOP RECOMMENDATIONS TO IMPROVE ACCESS BASED ON DATA INSIGHTS.
- MONITOR METRICS TO IDENTIFY INEFFICIENCIES, GAPS, AND OPPORTUNITIES FOR IMPROVEMENT IN SCHEDULING TEMPLATES.
- MONITOR RESOURCE AND PROVIDER TEMPLATES AND RECOMMEND OPPORTUNITIES FOR IMPROVEMENT (20%).
Training
- SUPPORTS TRAINING AND SUPPORT TO END USERS ON TEMPLATE FUNCTIONALITY AND WORKflows.
- SUPPORTS TRAINING FOR IMPLEMENTATION OF CHANGES TO TEMPLATES AND PATIENT ACCESS PROCESSES (20%).
Education
- High School Diploma or GED Required.
- Work Experience: 1-3 years 1 years of experience using Epic EHR system Required.
- 1-3 years 1 years of Epic scheduling template build and maintenance experience Required.
- 1-3 years 1 years of healthcare operations support Required.
Knowledge, Skills and Abilities
- Ability to adapt in an evolving technical environment; identifies and validates the appropriate solution to meet various needs.
- Demonstrated fluency in scheduling template build, maintenance and troubleshooting.
- Demonstrated understanding of Epic EHR technologies and workflows (e.g., Cadence, Referrals, MyChart).
- Understands the Epic system capabilities, and limitations in supporting various workflow and process requirements of the enterprise.
- Demonstrates strong ability to identify, analyze, and solve problems.
- Exceptional organizational skills with an ability to handle multiple efforts of varying priority.
- Ability to act as a resource to staff for operational and administrative questions.
- Proficient in Microsoft office suite.

$67,000.00 - $100,500.00 / yr
