The incumbent works independently and as a cooperative member of the departmental administrative support staff team, and is responsible for collaborating with departments and other campus units to deliver efficient and effective personnel services and ensure compliance with policy and procedures. Benefits Level Eligibility: Full benefits Schedule Information Part-time, FixedPercentage of Time: 75%, 30 Hours per WeekDays of the Week: Mon-FriShift Includes: Day, 6hrs (actual work schedule may be negotiated at the time of hire) Employee Classification: Career appointment Job End Date: None Work Location: UC Santa Cruz Main Campus Union Representation: Non-represented (99) Job Code Classification: ACAD PERSONNEL ANL 2 (004513) Travel: Never or Rarely Job Duties 40% - Academic Human Resources: Student Employment Oversee all aspects of employment for Teaching Assistants, Reader/Tutors, Graduate Student Instructors, and Graduate Student Researchers: generate letters of employment; monitor, analyze, and maintain communications pertaining to student employment; coordinate with principal investigators, graduate advising staff, and budgetary research accountants to obtain employment authorizations; serve as the primary resource to ensure compliance with bargaining contracts, policies, and procedures.Oversee the continuation of employment (COE) process for students: initiate, monitor, and maintain communications pertaining to continuation of appointments and funding; update and maintain COE data consistently and accurately. 40% - Academic Payroll Administration Ensure timely and accurate pay and personnel administration in campus systems including new hires, reappointments, separations, extensions, and short work breaks; ensure accurate and appropriate backup is assembled for online entry and pay actions, as required for review and audit purposes; adhere to published deadlines for updates. Produce and audit payroll reports for accuracy.Oversee personnel data management following security, confidentiality and retention policies and regulations.Meet with academic new hires and rehires (individuals and groups) to oversee onboarding process.Oversee academic separation activity; process final pay and leave payouts; send notices of separation.Work in close collaboration with the divisional academic human resources team, department managers, graduate advising staff, principal investigators, and research accountants to ensure academic personnel and payroll requests are in compliance with policies, procedures, and audit requirements. 15% - Time and Attendance Oversee time and attendance reporting for eligible student academic employees: audit monthly and biweekly time sheets; analyze, interpret, and accurately apply time and attendance policies; monitor compliance with personnel duties; produce and audit time and attendance reports. 5% - Special Projects/General Support Attend and participate in divisional and campus-wide trainings, workshops, and other relevant meetings; coordinate with supervisor to update and maintain divisional human resources payroll web pages; coordinate with supervisor to update and maintain workflow process documents and shared server files; update/maintain divisional email lists, and other special projects as assigned by supervisor. Required Qualifications Bachelor's degree in related area and / or equivalent experience / training.Experience in payroll and/or personnel processing and/or related administrative skills.Outstanding organizational skills with strict attention to detail and ability to retain information.Demonstrated critical thinking skills to address moderately complex issues and present nuanced analyses; demonstrated ability to apply knowledge, analyze and interpret policies and regulations.Thorough knowledge of common computer application programs and the Google suite with demonstrated ability using spreadsheet and database software, and ability to learn new systems. Strong written communication skills with the ability to proofread with a great deal of accuracy.Demonstrated ability to coordinate a variety of projects simultaneously under the pressure of deadlines and high volume of work.Demonstrated ability to exercise good judgment and discretion in handling sensitive and confidential information and materials.\Ability to work with a high degree of independence, closely adhering to directions, policies, and procedures, while concurrently maintaining a commitment to teamwork.\Math skills sufficient to calculate salary and effort percentages, apply rounding methodologies, apply quarterly hour basis time reporting, and reconcile leave accruals.Demonstrated commitment to creating an inclusive community that fosters access, openness, and productive engagement for all.
