Academic Coordinator
About the role
The Academic Coordinator provides high level administrative support to Chief Operating Officer of the Faculty Practice and related staff to ensure efficient office operations. The individual in this role requires broad knowledge of organizational policies, practices, and operations.
Responsibilities
- Maintains calendar schedules, confirms appointments and arranges for meeting rooms or facilities.
- Prepares agendas or presentations, takes, transcribes and distributes notes or minutes.
- Transcribes orders in the EMR system.
- Works collaboratively on programs and special events, prepares and submits invoices for central practice operations.
- Able to communicate effectively on a wide range of issues with internal and/or external customers, and initiate follow-up actions.
- Generate content for Department Newsletter to distribute to both internal and external contacts.
- Able to handle privileged data, maintaining confidentiality and discretion with the nature of the business.
- Coordination of symposiums in conjunction with the CME office.
- Able to work with others to accomplish tasks, be flexible in work practices, procedures, and/or processes and work effectively with others to find solutions.
- Create Qualtrics surveys and organize the results to disseminate to the appropriate parties.
- Able to coordinate resources, including personnel, toward fulfillment of desired objectives.
- Able to research data online and present findings.
- Cook up offsite meetings, dinners and travel arrangements as needed.
- Able to demonstrate proficiency in MS Office Suite Products.
- Ad hoc duties as assigned.
Requirements
The ideal candidate will have a Bachelor's degree and 2+ years of relevant experience in a similar role. Proficiency in MS Office Suite Products, ability to handle privileged data, and strong communication skills are essential.
Qualifications
Experience in administrative support, familiarity with organizational policies, practices, and operations, and the ability to handle confidential information are required.
