College of Nursing is seeking a Secretary to support the Office of Academic Affairs (OAA). This role involves compliance and coordination of proctoring for nursing student accommodations, including Kaplan and Safe Medicate systems, ensuring alignment with MSU policies and procedures. The position also provides support for the Certified Registered Nurse Anesthetist (CRNA) program, including data and record maintenance, faculty collaboration, compliance, contract maintenance, and student interview coordination.

Responsibilities

  • Develop, maintain, and update proctoring schedules with primary and backup proctors.
  • Collaborate with IT staff to set up, clean, reset, and schedule rooms and additional proctors for student proctoring.
  • Support scheduling for the program director (PD) and assistant PD of the CRNA program.
  • Assist nursing faculty with professional travel approvals and reimbursements.
  • Perform general office duties, including drafting and proofreading documents, updating databases, and generating reports.
  • Provide backup personnel support within the Office of Academic Affairs.
  • Maintain nursing student compliance and contract records.
  • Generate expense and general reports, and submit financial documents such as reimbursements for travel or supplies.
  • Support policies and procedures development, implementation, and maintenance to ensure compliance with state and federal accreditation regulations.

Requirements

  • Knowledge equivalent to a high school education.
  • Three to five years of progressively responsible experience in customer service, office management, or an administrative role.
  • Experience with word processing, spreadsheet, database, and/or desktop publishing software.

Qualifications

  • Bachelor’s degree preferred.
  • Experience in office management or an administrative role.
  • Excellent communication and people management skills.
  • Strong organizational and time management abilities.
  • Ability to multitask, prioritize, and solve problems effectively.
  • Self-starter with a positive mindset and strong workplace engagement.
  • Proficiency with Microsoft Office and general computer troubleshooting.

Schedule

Standard 8:00 AM – 5:00 PM.

Physical Demands

  • Frequent lifting and/or carrying of objects weighing up to 25 pounds; occasional lifting of up to 50 pounds.
