About the Role

The College of Nursing is seeking an Academic Affairs Secretary to work directly with the Office of Academic Affairs (OAA). This position is responsible for a variety of key activities, including compliance and coordination of proctoring for nursing student accommodations (e.g., Kaplan and Safe Medicate systems), ensuring alignment with MSU policies and procedures. The role also supports the Certified Registered Nurse Anesthetist (CRNA) program by maintaining program data, collaborating with faculty, managing compliance and contracts, and coordinating student interviews to meet COA standards. Additional duties include assisting with nursing student compliance, generating reports, submitting financial documents, and contributing to policy development for state and federal accreditation compliance.

Responsibilities

  • Develops, maintains, and updates proctoring schedules, including primary and backup proctors.
  • Collaborates with IT staff to set up, clean, reset, and schedule rooms and additional proctors for student proctoring.
  • Provides scheduling support for the CRNA program director (PD) and assistant PD.
  • Assists nursing faculty with professional travel approvals and reimbursements.
  • Performs general office duties, such as drafting and proofreading documents, updating databases, and generating reports.
  • Serves as backup personnel support within the Office of Academic Affairs.

Requirements

  • Knowledge equivalent to a high school education.
  • Three to five years of progressively responsible experience in customer service, office management, or an administrative role.
  • Proficiency in word processing, spreadsheet, database, and/or desktop publishing software.
  • Ability to lift 50 pounds or more, with frequent lifting/carrying of objects weighing 25 pounds or more.

Qualifications

  • Bachelor’s degree preferred.
  • Experience in office management or an administrative role.
  • Excellent communication, organizational, and time management skills.
  • Ability to multitask, prioritize, and work in a fast-paced environment.
  • Strong problem-solving skills and a self-starter mindset.
  • Proficiency with Microsoft Office and general computer troubleshooting.

Standard work hours: 8:00 AM – 5:00 PM.
