Academic Advising Manager
CHPS Graduate Affairs Office supports nearly 1,500 graduate students across nine accredited clinical and research-focused programs in health and wellness disciplines. The office provides comprehensive academic support under the Associate Dean for Academic Affairs, collaborating with campus partners to ensure effective graduate program operations.
About the Role
The Manager of Academic Advising assists the Director of Graduate Affairs and Associate Dean of Academic Affairs in managing advising and academic support for graduate programs. This role supports students with registration, enrollment, university policies, and graduation processes, while also providing backup advising and interpreting academic policies for programs.
Responsibilities
- Program and Student Support:
- Interpret academic policies and recommend exceptions.
- Provide backup advising for graduate programs, including admissions and graduate assistantship agreements.
- Graduation Processing:
- Manage college-level graduation pre-certification and final degree certification, including course substitutions and verification of program requirements.
- Maintain graduation records and collaborate with the College of Graduate Studies on student eligibility and Commencement.
- Graduate Plan of Study (GPS) and Degree Audits:
- Verify GPS audits function correctly and coordinate with the College of Graduate Studies.
- Identify deficiencies in students' GPS audits and collaborate with program directors to update Plans of Study.
- Approve GPS eForms to update degree audits based on Plans of Study.
- Registration:
- Manage college-wide graduate student registration, troubleshoot holds, and assist with registration issues.
- Register students for Thesis, Dissertation, and other classes as requested by programs.
- Verify Thesis/Dissertation Registration Request forms for accuracy.
- Thesis and Dissertation Processes:
- Verify candidacy eligibility and enrollment eligibility for Thesis or Dissertation.
- Track final semester Thesis/Dissertation forms and status.
- Curriculum:
- Assist with curriculum revisions, review course actions, and program recommendations using Kuali.
- Ensure new courses are set up correctly and assist with course scheduling.
- Create and maintain graduate course prerequisites for appropriate registration.
- Graduate Office Operations:
- Recommend business processes to effectively manage graduate advising in CHPS.
- Assist with recruiting events, enrollment planning, and advising potential applicants.
- Prepare reports and spreadsheets using Gradinfo, SLATE, DocuSign, Viewstar, PeopleSoft, and Microsoft Office.
- CHPS Graduate Council Support:
- Coordinate and attend graduate committee meetings, including scheduling, preparing agendas, materials, and minutes.
- Follow up on items discussed/approved to ensure completion.
Requirements
- Bachelor’s degree and 5+ years of relevant experience, or a Master’s degree and 3+ years of relevant experience, or an equivalent combination of education and experience pursuant to Fla. Stat. 112.219(6).
Preferred Qualifications
- Master’s degree or other post-baccalaureate education.
- At least two years’ experience providing support to graduate programs or graduate students.
- Experience using systems such as PeopleSoft, SLATE, and Kuali, or similar record management tools.

Pay
The anticipated salary range for this position is $48,722 – $63,000, with the final salary determined based on qualifications, experience, and internal equity considerations.
Schedule
Monday – Friday, 8:00 AM to 5:00 PM, with occasional evenings and weekends for special events.
