About the role
The College Academic Advising Office (CAAO) is part of the Office of the Dean of Students in the College. It supports undergraduate students in exploring their academic and co-curricular interests, planning their graduation paths, and navigating University policies and campus resources.
Responsibilities
- Serves as a generalist in advising students across all academic programs.
- Maintains supportive relationships with students through one-on-one and group meetings.
- Consults with students on course selection, curricular choices, academic progress, and long-term goals.
- Supports incoming and transfer students during the summer by building relationships and planning courses for Autumn Quarter.
- Affirms students facing challenges and makes referrals to campus resources.
- Manages an advising caseload using University databases, records student interactions, and monitors progress.
- Maintains collaborative relationships with campus partners and makes timely referrals.
- Develops deep knowledge of the Core curriculum and programs of study.
- Remains informed on study abroad programs, internships, and joint-degree/4+1 graduate programs.
- Serves as a liaison to academic departments and updates staff on developments.
- Understands and interprets University policies and deadlines.
- Documents and processes special approvals to students' degree programs.
- Provides guidance on student petitions.
- Responds to student, staff, faculty, and parent communication.
- Participates in staff development trainings, class visits, and weekly meetings.
- Assists senior staff members on voluntary projects.
- Advises students with minor academic difficulties and handles queries from faculty, staff, and parents.
- Writes letters of recommendation for students.
Qualifications
- Minimum requirements include a college or university degree in a related field.
- Knowledge and skills developed through 2-5 years of work experience in a related job discipline.
- Preferred qualifications include a master’s degree with a 5-year minimum gap between college graduation and appointment.
- Specialized knowledge of college student development.
- Proficiency in Mac and PC environments, Word, Excel, Outlook, and online organizational tools.
- Familiarity with Adobe graphic design/web development environments.
- Proficiency with web and social media platforms.
- Ability to learn new software and database tools.
- Strong verbal and written communication skills, including excellent editing/proofreading ability in English.
- Handle multiple concurrent projects, manage details, and meet deadlines.
- Work effectively with supervision and as a part of a team.
- Maintain confidentiality/discretion at all times.
- Handle stressful situations.
- Critical thinking, problem-solving, decision-making, reasoning, attention to detail, and creativity skills.
